The Administrative Assistant in the Office of Admissions at The Ohio State University College of Medicine performs a variety of administrative tasks for the Associate Dean for Admission in support of the Admissions process; serves as liaison to a variety of stakeholder groups. Coordinates and maintains appointment calendars; schedules and coordinates meetings, conferences, educational programs, and special events; attends and records minutes of meetings; transcribes and distributes meeting records; makes travel and lodging arrangements; collects receipts, prepares requests for, and tracks reimbursement of expenses; drafts and prepares correspondence; prepares reports, tables, and slides for presentations; assists with preparation of reports; updates CV (curriculum vitae) and tracks CME (Continuing Medical Education documentation); answers phones and email inquiries; orders and maintains office supplies as needed, serves as liaison for faculty, staff, administration, and external customers and organizations; opens, screens and distributes mail. Completes tasks in a timely manner with accuracy and high quality. Develops and prepares applicant interview day marketing packets, presentations, nametags, mailers, and other documents; evaluates pre-requisites for interviewing applicants; assists in creating and maintaining electronic applicant files; creates, distributes, and summarizes quality initiatives in support of the Admissions Committee. Reviews and responds to emails and voicemails from prospective students sent to the Admissions Office. Leads the coordination and execution of monthly in-person applicant tours; serves as liaison to a variety of stakeholder groups; participates in Admissions staff meetings; Assists with planning, coordination, and implementation of recruiting events; performs other duties as assigned to aid in the admissions process.

Minimum Education Required

High School diploma or GED.

Required Qualifications

High School diploma or GED. 1 year of administrative support experience. Proficiency in Microsoft Office (including proficiency in PowerPoint, Word, Excel) and the ability to generate spreadsheets and a variety of materials ranging from basic to complex; experience in office practices and procedures; excellent written communication skills; ability to work independently and in a team environment. Requires successful completion of a background check. Selected candidate may be asked to complete a re-employment physical including a drug screen.

This position requires regular in-person work and occasional evening hours.
