About the Department of Criminal Justice and Criminology

The Department of Criminal Justice and Criminology offers three different degree programs, which include a BS in Criminal Justice and Criminology, BS in Cybersecurity, and MS in Cybersecurity. Our programs seek to prepare professionals who are critically educated, socially intelligent, ethically aware, and culturally sensitive. Our diverse team consists of 12 full-time faculty with various professional and research backgrounds, two dedicated and talented staff members, and a group of part-time affiliate faculty with a depth of industry experience. Position Summary

The Department of Criminal Justice & Criminology (CJC) at MSU Denver is seeking a Budget and Data Coordinator. CJC is a rapidly growing academic unit consisting of undergraduate and graduate education and includes the Master of Cybersecurity, Bachelor of Science in Criminal Justice and Criminology, and Bachelor of Science in Cybersecurity. The coordinator provides support with purchasing, payroll, expense reporting, and budget reconciliation for department expenditures and externally funded projects. This position also works collaboratively on CJC's administrative support team to help with events and assist Graduate Admissions team members with the use, knowledge, and implementation of various technology solutions, including Banner, Slate or other admission tools.

The Budget and Data Coordinator works in collaboration with the CJC Administrative Assistant and the Cybersecurity Program Manager and must be able to work effectively as part of a team. The coordinator reports directly to the Department Chair and will initiate best practices associated with all administrative initiatives to enhance department functioning.The coordinator must be able to adapt to a rapidly changing and growing Department, anticipating the needs of the key responsibility areas and strategic goals of CJC and modifying activities and processes accordingly.

Responsibilities

Budget Support & Accounting Services - 80%

The Budget and Data Coordinator must have a high attention to detail and ability to multitask to support financial tracking and accounting activities in the Department that consist of State funds. The Department directly manages over $350,000 annually, and the coordinator tracks and reports on expenditures in several categories including materials and supplies, travel, grants and scholarly awards approval and spending, professional development funding, student employment budgets etc. This role assists with processing of student stipends and scholarships with the Sponsored Projects Accounting and Compliance Office, Financial Aid, and Accounts Payable. This position must be well-versed in university accounting and travel policies and procedures set forth by MSU Denver, the State of Colorado, and external funding sources.

This position supports faculty, staff, and students by processing accounting and travel paperwork documentation and purchasing materials and supplies with an eye to continual improvement in the effectiveness of this area.The coordinator will meet with staff and faculty to plan professional development purchases and travel arrangements and will track these expenditures in line with the departmental budget. The coordinator works to improve documentation and tracking processes in Workday, Excel, and Banner. The successful candidate will be able to flex when procedures and staff change, as can happen frequently.

Data Support - 10%

Collaborate and partner with the Administrative Assistant, Cybersecurity Program Manager, and Cybersecurity Program Director with a variety of processes including:

  • Managing database systems for communications such as Slate, as well as maintaining up-to-date and accurate student records
  • Assisting in email campaigns, texting, or automated/scheduled messages for prospective students, parents, counselors, and other audiences
  • Helping maintain automated processes in Slate and ensuring all functions are working as required
  • Troubleshooting minor computer issues and serving as assistant liaison with IT to resolve issues
  • Assisting Graduate School applicants by troubleshooting application checklist issues

Other specific data support duties may include, but are not limited to:

  • Creating digital forms for use by prospective students and admissions committee
  • Importing documents and other materials into the database system from external sources
  • Assisting with the maintenance of user permissions for database system access
  • Maintaining a section of the prospect, inquiry and applicant records including entering appropriate application data into database, requesting missing credentials, and responding to phone inquiries and/or emails related to applications
  • Informing supervisor of application process questions or feedback to ensure consistent procedures
  • Processing withdrawal notifications pertaining to applications
  • Assuming additional application processing tasks as needed by the Admissions Committee
  • Creating and maintaining Alumni database

Perform Other Duties as Assigned - 10%

  • Serving as backup office coverage only as needed (front desk duties, data entry, etc.)
  • Assisting with recruiting events

Required Qualifications

  • Bachelor's degree or equivalent work experience in a financial and administrative support setting (if you plan to use the equivalence option to establish qualified status, please note that one year of education is equal to two years of experience)
  • Minimum one year experience with:
    • Administrative support
    • Accounting
    • Proficiency with Microsoft Excel, including formulas and pivot tables
    • Confidence in identifying and communicating concerns about errors and efficiencies
    • Data management and/or record keeping
    • Purchasing

Preferred Qualifications

  • Master's degree
  • Three years' experience with budgets and or accounting
  • Demonstrated ability to give attention to detail in maintaining clear and complete fiscal records
  • Experience with Banner forms navigation, preferably with Banner Finance forms
  • Experience with Workday
  • Experience with grant accounting and reporting
  • Experience with University Purchasing protocols
  • Secure file upload experience (like Liquid Files)
  • Accounting experience in a higher education setting
  • Experience supporting online programming activities
  • Experience and sensitivity to the educational needs of a diverse urban population including first generation college students and historically under-served
  • Experience creating promotional marketing materials or communications

Schedule Information

  • Full-time, 40 hours/wk

  • Days of the Week: Monday - Friday, 8:00 am - 5:00 pm

  • Hybrid Schedule with 3 days in person in office and 2 remote days
  • Travel: Rarely, except for professional administrative conferences and training

Salary for Announcement

Under Colorado law, MSU Denver is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account a variety of factors including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The full salary range that the University reasonably expects to pay for this position is $45,300 - $68,000.

This position is paid monthly and is eligible for MSU Denver benefits.
