Position Summary |
This position will serve as the principal administrative position in the Dean's Office of the College of Public Health. The position is responsible for a broad and complex set of assignments and will be expected to work closely with the Dean and the Executive Leadership Team of the College. Incumbents will be expected to display leadership and professionalism as a key integral part of the College's administrative team and a direct representative of the Dean. This position will work closely with a wide variety of individuals, both on and off-campus; therefore, this individual will understand the importance of providing strong customer service and projecting a positive demeanor with professionalism. |
Knowledge, Skills, Abilities and/or Competencies |
- Display strong oral and written communication skills, a high level of discretion, sensitivity, and attention to detail, strong interpersonal skills, and the ability to handle multiple and complex tasks quickly and in an organized manner with a proactive approach to completing tasks.
- Have the capacity to work independently and as a member of a large and diverse team.
- Experience managing multiple and complex projects and initiatives involving multiple stakeholders is preferred.

Assist the Dean, Associate Deans, and Directors with the administration of the College of Public Health
- Ensures accurate, timely, and positive interactions that advance the professional image of the College.
- Provide administrative support for the Dean and Dean's Office staff which may include assistance with scheduling meetings, making travel arrangements, conference registrations, drafting correspondence, etc.
- Provide administrative support to ensure efficient office operations including answering phones, assisting visitors, managing room reservations, managing building access, distributing keys, etc.
- Provide support in the administration of academic/faculty affairs.
- Other duties of a similar nature and scope as assigned.

Execute the day-to-business functions of the Dean's Office
- Serve as the initiator and first point of contact for financial transactions including purchases and reimbursements for all units within the Dean's Office.
- Serve as the initiator and first point of contact for Human Resources transactions including hiring, salary and payroll changes, and time and effort changes for all units within the Dean's Office.
- In partnership with the Assistant Director of Finance and Administration, monitor Dean's Office budgets and expenses.

- Act as a liaison and initial point of contact for the dean; extensive contact with faculty, staff, students, UGA Senior Administration and external constituencies.
- Maintain a list of active tasks assigned by the Dean and follow up with responsible parties on the Dean's behalf to gather updates and ensure completion.
- Maintain a calendar of important dates and deadlines and ensure major deliverables are met by the College.
- Draft memos, reports, and other documents on behalf of the Dean.

- Presents information, concepts, and ideas to the Dean and Executive Leadership Team.
- Advises the Dean, as appropriate, on policy matters and supports the development and analysis of administrative process and policy.
