Overview

The Strategic Initiatives Project Manager provides leadership to multiple complex projects, ensuring that they are planned and executed in a manner that supports the achievement of their project deliverables on time and within budget. Projects assigned are broad in scope, high impact, and may involve multiple functional areas and/or span across service areas; examples of projects could include, but are not limited to, capital construction projects, clinical operation projects, and organizational efficiency improvements. Ensures that project teams are functioning effectively and are producing high quality work within the defined parameters of the projects' scope, budget, and schedule. Exercises judgment within broadly defined policies in developing methods and techniques for prioritizing and obtaining project results.

This is a full time, exempt, benefit eligible position in Berkeley, CA.

Benefits

Compensation: $87k - $95k/year. We offer excellent benefits including: medical, dental, vision (including dependent and domestic partner coverage), generous leave benefits including ten paid holidays, Flexible Spending Accounts, 403(b) retirement savings plan.

Responsibilities

The Project Manager at LifeLong Medical Care will be expected to perform duties in all of the following project management domains.

Project Initiation

    Work with project sponsor to develop project charter and ensure that project objectives are clear and aligned with organizational goals.
  • Ensure that a business case for the project is developed and approved.
  • Identify project stakeholders at the beginning and continuously throughout the project to guarantee that those affected by the project are included in project planning and execution.

Project Planning

  • Develop a comprehensive project management plan for each project that addresses scope, schedule, cost, quality, resources, communications, risk management, procurement management, and stakeholder engagement.
  • Collect requirements for the project and define the project's scope with the project team.
  • Develop the project schedule by defining and sequencing project activities.
  • In conjunction with the sponsors of each project, develop the appropriate project budgets.
  • Determine the quality standards that govern the project deliverables and how the project will achieve compliance to those standards.
  • Identify the types and quantities of resources required for project activities.
  • Determine communication requirements for stakeholders and communication methods.
  • Work with project team to identify project risks and plan responses to those risks.
  • Determine how procurement activities will be conducted and managed within the project.

Project Execution

  • Motivate team members and facilitate team meetings. Act as liaison, problem solver, and facilitator to ensure readiness of systems within the department(s) to implement the project.
  • Assess impact of project on workflow and develop necessary changes in processes with the team, to ensure successful implementation of project and positive outcomes.
  • Negotiate with functional managers for use of personnel from within the organization to work on specific projects relevant to those departments.
  • Manage project communications, including planning and facilitating meetings, and making formal presentations to various senior level audiences and user groups.
  • Contract with vendors as required by the project and ensure payments are made per contract.
  • Manage relationships with project stakeholders, including internal and external clients and vendors, keeping stakeholders informed of progress and issues in order to manage expectations on all project requirements and deliverables.

Project Monitoring and Controlling

  • Evaluate progress of projects (schedule, budget, etc.) and recommend modifications or revisions as needed.
  • Facilitate timely resolution of major problems encountered by project teams.
  • Gain formal acceptance of project deliverables from stakeholders as they are completed.
  • Ensure projects remain within scope and follow appropriate change procedures if projects exceed their planned scope.
  • Monitor project risks and appropriately implement risk responses as risks arise on the project.

Project Closing

  • Manage project teams through project closing process including transition planning, evaluation, and reporting.
  • Ensure that project knowledge and lessons learned on each project are recorded and archived for future use within the organization.
  • Develop the project closing report and circulate to appropriate stakeholders.

Other Responsibilities

  • Establish effective professional business relationships with all levels of the organization and external parties.
  • Assist in development and adherence of best practices, techniques, and tools for project planning, execution, project management, ongoing milestone/deliverable tracking, communication, and key performance metrics.
  • Perform other tasks as assigned by the Chief Strategy Officer.


Qualifications

  • Demonstrated ability to analyze, prioritize, lead, and manage change. Ability to lead interdisciplinary teams through influence without a direct line of authority.
  • Demonstrated ability to create, communicate, monitor, and successfully complete projects with clear deliverables, on time and within budget.
  • Effective in assuming multiple tasks and projects, and able to work in a fast-paced and interruption-prone work environment.
  • Strong organizational, administrative, and problem-solving skills; ability to be flexible and adaptive to change.
  • Ability to effectively present information and build support among employees, community partners, vendors, and other stakeholders.
  • Ability to seek direction/approval on essential matters, yet work independently with little onsite supervision, using professional judgment and diplomacy.
  • Work in a team-oriented environment with a number of professionals with different work styles and support needs.

Job Requirements

  • Bachelor's Degree in Public Health, Public Administration, Public Policy, or other applicable field, or relevant years of experience.
  • Minimum of 2 years of experience with project management, research/analysis, and/or participating in interdisciplinary teams.
  • Proficient in Microsoft Word, PowerPoint, Excel.
  • Experience with project management software such as: Microsoft Project, Visio, and/or Smartsheet.
  • Reliable transportation to be able to travel throughout our sites in Alameda and Contra Costa Counties. Mileage reimbursement will be provided.

Job Preferences

  • Familiarity with healthcare settings; Community Health Center/FQHC experience.
  • Experience working for a non-profit community health center and/or other non-profit social service organization.
  • Project Management Professional (PMP) Certificate.
