General Statement of Responsibilities:

The Patient Services Representative role at Boynton Health support provider staff with assessing appropriate service to meet the care needs of the patients in a mental health clinic. Assigned responsibilities are carried out in a manner respectful of the rights of patients, and conducive to the efficient, effective rendering of high quality ambulatory care.

Compensation: $21.63-$23.99 hourly depending upon qualifications and experience.

Detailed Job Responsibilities:

  • Screen patients:
    • Collect patient data
    • Assure eligibility of the patient to receive care at Boynton Health
    • Interview to obtain history and reason for visit
    • Interpret collected data to identify patients' appointment needs
    • Refer significant findings to the Triage Nurse or Urgent Counselor or the provider for assessment
    • Recognize and respond to emergencies and unplanned situations
  • Appointment scheduling and appointment arrivals:
    • Know Mental Health Cinic (MHC) scheduling guidelines as developed by the provider staff and be able to explain them to patients if necessary
    • Adhere to and explain HIPAA policy and Acknowledgement of Notice of Privacy Practices form to patients.
    • Explain Patient Financial Responsibility Statement to patients.
    • Collect visit copays and inform the patients about their financial responsibilities for payment when receiving services in the Mental Health Clinic
    • Issue "Zoom" invites for patients who receive care via TeleHealth
    • Correct use of pronouns as indicated by the patient or staff
    • Schedule language or hearing translators, if needed
    • Obtain current insurance information and appropriate release forms
    • Verify all demographic information
    • Generate a mental health medical record through the electronic medical records system
  • Report and record patient information:
    • Answer a high volume of phone calls
    • Take phone messages from callers requesting to speak with a provider and forwarding that information electronically
    • Offer urgent services to students who call in and appear to be in distress
    • Complete paperwork and electronic messaging necessary to facilitate patient care
    • Handle all patient information by phone or in person within boundaries set by patients' rights to confidentiality
  • Perform delegated tasks:
    • Process letters, forms and release of information requests in a timely manner
    • Fax documents as requested
    • Follow up on missing provider billing charges
    • Scan and file patient information into the electronic medical record
    • Other duties and tasks assigned
  • Continual improvement of systems and processes supporting patient access to service:
    • Attend and participate in weekly staff meetings, classes, workshops and in-services
    • Maintain compliance with applicable OSHA, HIPPA, MERTKA, and credit card/financial confidentiality policies. Adhere to University, Boynton Health and Mental Health Clinic policies and procedures.
    • Keep Team Leader informed of any problems with our systems or procedures.
    • Participate in ongoing review of policies, procedures and protocols
    • Participate in Quality Improvement projects

Qualifications

Required Qualifications:

  • Business college, office skills training, university level education, clerical experience involving contact with the public, or a combination of related medical clerical / receptionist experience and education to total four years.
  • Experience in a related health clinic clerical position.
  • Experience with an electronic medical record system.
  • Demonstrated commitment to promoting a culture that respects and advances diversity and inclusion.

Preferred Qualifications:

  • Experience in a related mental health clinic clerical position.
  • Excellent customer service focus & skills.
  • Must have ability to use independent judgment to perform a wide variety of tasks in a professional manner.
  • Strong communication and interpersonal skills.
  • Ability to prioritize, problem solve and multitask and perform in high demanding environment.
  • Able to perform well under pressure and can handle multiple tasks at one time.
  • Excellent problem solving skills.
  • Previous experience with Point and Click or other EMR computer programs
  • Experience working with individuals from diverse racial, ethnic, and socioeconomic backgrounds.
