POSITION SUMMARY

Perform clerical and general office duties in direct support of TRACOM, OST HQ and the AOCs training activities.

Responsibilities:



  • Maintain training documentation in accordance with applicable DOE/OST policy.
  • Records management, records management custodial duties, answering and forwarding calls, filing, faxing/scanning documents, intercom paging, typing, coordinating site and local access for visitors, preparation and distribution of emails, assisting with on/off-boarding personnel, and generating qualification/training reports.
  • Manage Light Credentialing System per Homeland Security Residential Directive 12 (HSPD 12) for Federal and Contractor personnel.
  • Entering training related data into OST's automated training record system.
  • Input training/qualification related information into the Qualification Tracking System (QTS) for federal and contractor personnel.
  • Maintain individual training records for the AOC FAs and staff as appropriate and input training/qualification related information into QTS.
  • Assist with official visits including badging uncleared visitors.
  • Provide basic instructional support, to include performing briefings and lecture support.
  • If assigned basic instructor duties, the Contractor must first attend BIT - Certification through DOE or FLETC.
  • Maintain professional and technical knowledge by studying/reviewing all relevant laws, regulations, orders, and policies.
  • Remain flexible, proactive, resourceful and efficient, with a high level of professionalism.


Qualifications:



  • High School Diploma (bachelor's degree preferred) or equivalent combination of education and experience.
  • Training Assistants/Training Command must have two years' administrative experience.
  • Excellent oral and written communication skills.
  • Excellent organizational skills and ability to multi-task.
  • Willingness to work directly with customers in an environment that changes rapidly and requires occasional long hours.
  • Ability to travel to locations throughout CONUS.
  • Proficient with the Microsoft Office Suite including advanced word processing using Microsoft Word, as well as Excel, Power Point and Outlook.
  • Must be self-motivated and can work independently.
  • Ability to meet the requirements for a DOE security clearance and Building Access badge.
  • Access will require the qualified candidate be a U.S. citizen with DOE Q clearance. The candidate's written consent to conduct a background check for the purpose of maintaining a security clearance will be required as a condition of employment.
  • A pre-employment test for the absence of any illegal substances will be required. Ongoing reviews and tests for the absence of illegal substances may also be conducted for continued access to client sites. The candidate's written consent to conduct such tests will be required as a condition of employment.
  • 2-5 years prior administrative/clerical experience.
  • Knowledge of DOE sites and types of operation.
  • Self-directed, and able to define and achieve goals with little supervision
  • Work is normally performed in an office, or classroom setting.
  • Work is also performed outdoors on a range or in support of a training exercise.
  • Worker may be exposed to dust, fumes, loud noises and the environment.
  • Work involves standing, walking, running and kneeling for sustained periods.
  • May involve occasional heavy lifting, carrying, pushing and pulling.
