The Part-Time Administrative Assistant plays an essential role in supporting the Executive Director and branch leadership team by providing administrative, operational, and organizational support that helps ensure the success of YMCA programs and services. This is a dynamic position for someone who enjoys balancing multiple priorities, collaborating with others, and making a meaningful contribution behind the scenes.


What You'll Do

Provide day-to-day administrative support to the Executive Director and branch leadership team.

Assist with payroll processing by reviewing timecards, tracking employee information, and supporting payroll-related tasks.

Coordinate office and program supply purchases, create purchase orders, and help manage inventory.

Support facility rentals by coordinating reservations, communicating with renters, and assisting with scheduling and logistics.

Prepare meeting materials, take minutes during Board and leadership meetings, and distribute follow-up information as needed.

Assist with employee onboarding by preparing new hire paperwork, coordinating orientation materials, and helping create a welcoming experience for new team members.

Maintain calendars, organize files, manage records, and assist with special projects and branch initiatives.

Collaborate with staff across departments to help ensure the smooth operation of the YMCA and provide exceptional service to members, volunteers, and community partners.


What You'll Bring

Previous administrative or office support experience.

Exceptional organizational skills and attention to detail.

Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.

Strong written and verbal communication skills.

Proficiency with Microsoft Office, including Word, Excel, Outlook, and other office technology.

Ability to maintain confidentiality and exercise sound judgment.

Positive attitude, excellent customer service skills, and a collaborative approach to supporting others.

Experience with payroll, purchasing, scheduling, or onboarding is preferred but not required.

Qualifications

  • High school diploma or GED required; Associate's or Bachelor's degree in Business Administration, Office Administration, Human Resources, or a related field preferred.
  • Minimum of 1-3 years of administrative, office support, customer service, or executive support experience.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
  • Excellent verbal and written communication skills.
  • High level of professionalism with the ability to maintain confidentiality and exercise sound judgment.
  • Proficiency in Google Suite and the ability to quickly learn new software systems.
  • Experience with payroll processing, purchasing, scheduling, or employee onboarding is preferred.
  • Experience preparing meeting agendas, taking meeting minutes, and maintaining accurate records.
  • Strong attention to detail and a commitment to accuracy.
  • Excellent customer service and interpersonal skills with the ability to interact professionally with staff, volunteers, members, vendors, and community partners.
  • Ability to work independently while also collaborating effectively as part of a team.
  • Ability to adapt to changing priorities in a fast-paced environment.
