Job Overview

The Contract Specialist ensures that in every agreement, with vendors, providers, or partners, is compliant, cost effective, and aligned with the organization's goals and mission. This position protects the organizations financial, legal, and operational interests.

Job Status: Full-time, Salaried.

Shift: Days. Monday - Friday, 8:00am - 5:00pm. No holidays or weekends.

Essential Functions

  • Administers the entire contract lifecycle, from creation to execution utilizing the contract database, ensuring final executed agreements are stored with the contract database.

  • Performs onboarding for new vendors following CHCO policies.

  • Assists with implementing strategy used in contract negotiation and finalizes contracts that meet CHCO contract standards and cost targets in partnership with Category Management Specialist.
  • Engages internal and external stakeholders as needed to achieve optimal outcome on behalf of CHCO.
  • Ensures necessary workflows and approvals are followed as per CHCO policies.
  • Generates and sends communication out to stakeholders regarding workflow questions as needed.
  • Participates in business reviews of contractual performance for strategic vendors, to ensure compliance with terms and to identify conflicts or changes requiring resolution at contract renewal.

  • Builds strategic relationships maintaining a positive working relationship with internal customers, and other stakeholders to obtain cooperation and support during negotiations and future business reviews.

  • Provides guidance and may participate in Requests for Proposals (RFPs) and Requests for Information (RFI).

  • Executes contract termination procedures or renewals as needed.

  • Updates and maintains contract record data in the contract database.

  • Contributes ideas and make impactful change to current processes.

  • Fosters a professional and team-orientated environment.

Scope and Level

  • Guidelines: Developmental, standard, or intermediate level. Guidelines are generally numerous, well established, and directly applicable to the work assignment. Work assignment and desired results are explained by general oral or written instructions.

  • Complexity: Falls between the entry and full performance/senior level. Duties assigned are generally repetitive and restricted in scope but may be of substantial intricacy. Employee primarily applies standardized practices.

  • Decision Making: Decisions or recommendations on non-standardized situations are limited to relating organizational policies to specific cases. Brings non routine issues to supervisor. Problems that are not covered by guidelines or that are without precedent are taken up with the supervisor.

  • Communications: Contacts with team members, clients or the public where explanatory or interpretive information is exchanged, gathered, or presented and some degree of discretion and judgment are required within the parameters of the job function.

  • Supervision Received: Under normal supervision, within a standardized work situation, the employee performs duties common to the line of work without close supervision or detailed instruction. Work product is subject to continual review.

MINIMUM QUALIFICATIONS

  • Education: Bachelor's degree in business administration or a related field is required.

  • Experience: Minimum Two (2) years of category management, contract administration and/or purchasing experience.

  • Equivalency: Four (4) years of experience, beyond stated requirements, may substitute for the Bachelor's degree

  • Certifications: Paralegal certification preferred

Salary Information
Pay is dependent on applicant's relevant experience.

Annual Salary Range (Based on 40 hours worked per week): $88,253.00 to $132,379.50
