Job Summary

Under supervision, responsible for providing advising/consultation, undergraduate program administration, outreach and event planning in The Arts Group Undergraduate Advising Center. Provide consultation and direct students to appropriate resources, manage course enrollment process, maintain student and instructional databases, manage scholarship and awards processes, schedule courses, back up for course evaluations and student assistants staffing the front desk.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • No Minimum Education required.
  • Experience providing administrative counseling to students in a university setting including skills to instruct students in academic planning and course selection techniques, study skills and policies and procedures.
  • Experience working with diverse student populations including, but not limited to, students with diverse abilities, racial, ethnic, gender, sexual orientation, socio-economic backgrounds and religions; ability to effectively address the advising needs of historically underrepresented and minoritized students.
  • Experience using computer software (Word, Excel, Access) for word-processing, spreadsheet, and maintaining database. Ability to learn new computer programs.
  • Organizational, time management and decision making skills to work independently and accurately under pressure and productively despite frequent interruptions; to work with ambiguities where clear guidelines are not available; to process detailed work accurately and in a timely manner; and to successfully manage multiple priorities in a complex work environment and meet deadlines.
  • Ability to exercise initiative and independent judgment in dealing with highly sensitive and confidential matters.
  • Skills to recognize and handle difficult/unpleasant situations and/or individuals; to identify problems and needs; and to make competent referrals and/or to develop solutions.
  • Interpersonal and communication skills to interact with students, parents, faculty, staff, and the general public; and to communicate effectively in person, in writing, and by telephone.

Preferred Qualifications

  • Experience with outreach events, event planning and reaching students and alumni via social media and other media outlets.
  • Skills to make presentations to individuals and groups.
  • Analytical and research skills to obtain, correlate and analyze data and develop statistics from a variety of campus sources; and to retrieve and assemble information for the preparation of reports, schedules, correspondence etc.
  • Knowledge of the College of Letters and Science or UCD requirements, policies, procedures and systems related to undergraduate education and advising.

Department Overview

The Arts Group Advising Center serves the undergraduate programs in the following departments Art and Art History, Design, Music, Cinema and Digital Media and Theatre & Dance. The Undergraduate Advising Center is responsible for advising, recruitment and retention, program planning, coordination and administration of undergraduate student affairs. There are a total of 1500 undergraduate students in 6 majors and 6 minors. This position reports to the Undergraduate Programs Manager.

Work Environment

UC Davis is a smoke and tobacco free campus effective January 1, 2014.
