Job Summary The Property and Materials Specialist ensures integrity, quality control, and stewardship over MCCCD property at the assigned campus. The position provides operational services for receiving, tagging, inventory, and transfer/disposal of goods and equipment, adhering to the MCCCD administrative regulations, policies, and procedures. The specialist mentors Part-Time and Federal Work-Study Receivers. Essential Functions 30% - Responsible for on-site property receiving of goods and materials; may assist with oversight of PartTime and Federal Work-Study Receivers providing operational support; verifies accuracy of delivery documentation with purchase orders and invoices; utilizes specialized equipment, such as golf cart, stake bed truck, forklift, scissor lift, equipment moving dollies, etc.; enters and updates asset tracking information, such as tag number, serial number, and location in the financial system; runs financial system reports to monitor and clear match exceptions; serves as liaison with campus staff and third-party freight shippers; delivers packages to campus offices. 30% - Coordinates and performs operational services related to the transfer and disposition of materials and equipment; updates asset location changes in financial system; processes property control transfer, reinstatement, donation, and disposal documents; provides coordination of administrative details for surplus property disposition; serves as campus liaison with Administrative Services staff, District Capital Asset Accounting, and District Surplus. 30% - Participates in the biennial inventory scanning of tagged assets; identifies, records and accounts for capital assets utilizing an automated property accounting system; performs scanning of tagged assets and works with campus personnel to locate and reconcile missing assets; adheres to and ensures compliance with capital asset policies and regulations; assists with developing property control operating practices and work standards. 10% - Performs other duties as assigned, such as, but not limited to: shipping outgoing packages; providing staff training and mentoring; completing and remaining current on all safety and handling training provided by MCCCD; ensuring adherence to workplace safety policies, procedures and practices; responding to inquiries related to property accounting policies, procedures and regulations; making recommendations regarding procedural or system changes and updates. Minimum Qualifications High School Diploma or GED and three years of property asset accounting and records administration or directly related experience. There is no substitution or equivalency allowable for the High School Diploma or GED. OR An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation. Desired Qualifications 1. One [1] year of experience with receiving, inventory, and/or surplus operations in higher education, nonprofit, or governmental environment 2. Forklift certification 3. Two [2] years of experience with maintaining electronic records/data 4. Experience using web-based financial software systems, such as PeopleSoft ERP (Financial Management System), including receiving and asset modules 5. Experience presenting to and/or training others on property control policies and procedures 6. Demonstrated proficiency using technology to streamline processes (including Microsoft, Adobe, and/or Google suite applications-Drive, Sheets, Docs, Slides) 7. Two [2] years' experience providing customer service 8. One year of relevant full-time MCCCD experience during the previous two years. **** Experience within other community college systems or higher education institutions is valued and may be considered in addition to MCCCD experience.
