Must be on site in Astoria, NY for this role.

We are seeking a highly organized and detail-oriented individual to provide essential administrative and organizational support for our company vehicles. In this dynamic role, you will be at the heart of our fleet operations, ensuring all vehicle-related documentation is meticulously managed and that our vehicles are ready when and where they are needed. You will collaborate with various internal and external stakeholders, contributing directly to the efficiency and success of our critical services.

**Key Responsibilities**

* Process and manage all necessary documents, including registrations, titles, permits, and licensing for company vehicles.

* Maintain, track, and update vehicle-related data within our vehicle management system and spreadsheets.

* Oversee and coordinate vehicle deliveries and pickups with vendors and internal employees.

* Manage the receiving and distribution process for vehicles, working closely with vendors and internal customers.

* Provide administrative support related to vehicle garages, fleet data, and other operational functions.

* Assist with regulatory compliance tasks, including procedures and forms, and finance-related tasks.

* Travel to municipal offices and other locations as required to process documents and manage fleet needs.

* Work collaboratively with stakeholders across the company to ensure strategic alignment and deliver exceptional customer service.

* Perform accurate data entry for vehicle information, preventative maintenance schedules, and other relevant details.

* Develop and maintain comprehensive data spreadsheets using Microsoft Word and Excel.

**Must-Have Qualifications:**

* Proven organizational skills with the ability to effectively manage a large volume of work.

* Excellent written and verbal communication skills, capable of interacting effectively with vendors, customers, and diverse stakeholders.

* Highly organized, detail-oriented, and flexible to manage multiple assignments concurrently.

* Demonstrated ability to maintain accurate record-keeping, tracking, and data entry to ensure compliance.

* Proficiency in MS Office Suites (Word, Excel, Outlook).

* Must possess an Associate's Degree.

* Must have a Valid U.S. Driver's License.

**Nice-to-Have Qualifications:**

* Experience and knowledge of the automotive industry.

* Familiarity with vehicle regulatory procedures and forms.

* Prior experience in fleet management or related roles.
