The Lead Project Assistant - Workforce Planning & Management plays a critical role in ensuring workforce readiness for major project execution. This role is responsible for supporting and driving recruiting, sourcing, and workforce coordination initiatives to meet project labor demands. The position acts as the on-site workforce coordination lead, managing hiring activities, external partnerships, workforce data tracking, and weekly reporting to ensure staffing targets are achieved on schedule.

Explore your tasks and responsibilities

Workforce Planning & Recruiting

  • Support and execute workforce planning strategies aligned with overall project schedules and labor demand forecasts.
  • Lead and coordinate recruiting and sourcing activities for craft, technical, and professional roles required for project execution.
  • Organize and manage hiring events, career fairs, and on-site recruitment activities in collaboration with HR and Talent Acquisition teams.
  • Support onboarding coordination for new hires, ensuring alignment with project start dates and workforce plans.

External Stakeholder & Community Engagement

  • Build and maintain strong working relationships with:
    • Local technical schools and training institutes
    • Government agencies and workforce development entities
    • Local unemployment organizations and community groups
    • Trade unions and labor representatives
  • Act as a key point of contact for local workforce partners to support sustainable talent pipelines and compliance with local labor requirements.

Workforce Data Management & Reporting

  • Track workforce metrics including hiring progress, open demand, start dates, throughput, and attrition.
  • Maintain accurate workforce planning trackers and dashboards aligned with project needs.
  • Prepare and present weekly workforce status updates and progress reports for project leadership.
  • Identify risks, capacity gaps, or delays in workforce delivery and escalate proactively with mitigation recommendations.

Project & Operational Support

  • Collaborate with operations, site managers, and FAS leadership teams to ensure workforce plans remain aligned with execution schedules.
  • Support continuous improvement of workforce planning processes, tools, and reporting structures.
  • Ensure compliance with internal policies and local labor regulations throughout workforce activities.
Show your expertise

Qualifications & Experience

  • Bachelor's degree in Human Resources, Business Administration, Project Management, or a related field (or equivalent experience).
  • 3-5+ years of experience in workforce planning, recruiting coordination, high-volume recruiting, project administration, or large-scale project support roles.
  • Proven experience organizing hiring events and managing high-volume recruiting initiatives is strongly preferred.
  • Experience working with external labor partners such as unions, training institutions, or government agencies is an advantage.

Knowledge & Skills

  • Strong understanding of workforce planning principles within construction, engineering, or industrial project environments.
  • Excellent organizational and data management skills with high attention to detail.
  • Strong interpersonal and communication skills with the ability to engage diverse internal and external stakeholders.
  • Proficiency in MS Excel and workforce tracking tools; experience with reporting dashboards is a plus.
  • Ability to work independently in a fast-paced, dynamic project environment with evolving workforce needs.
