Position Summary: The Flight Crew Relations Specialist provides a high level of administrative and clerical support to the Chief Pilot Office. This position is responsible for managing International Brotherhood of Teamsters (IBT) correspondence, maintaining grievance records, coordinating grievance and disciplinary meetings between the Chief Pilot office and IBT.

Major Job Accountabilities:



  • Manage and maintain comprehensive legal, grievance, and disciplinary records, ensuring accuracy, organization, and compliance with corporate, contractual, and regulatory standards.
  • Manage the scheduling and logistics of grievance and disciplinary meetings between management and the International Brotherhood of Teamsters (IBT).
  • Monitor and track grievance deadlines, case progress, and resolution statuses to ensure compliance with contractual timelines.
  • Draft, proofread, and distribute correspondence, meeting summaries, and formal communications with precision and professionalism.
  • Safeguard the confidentiality, integrity, and security of all legal and labor relations information in accordance with privacy regulations and organizational policies.
  • Support arbitration and mediation processes by, including exhibits, case summaries, and supporting documentation, ensuring timely submission.
  • Maintain and update legal and labor relations databases, ensuring all records are accurately categorized, easily retrievable, and compliant with document retention policies.
  • Compile, analyze, and report on grievance and disciplinary trends to support management decision-making and labor relations strategy development.
  • Facilitate communication and collaboration between the Legal Department, Chief Pilot Office, and union representatives to promote efficient case resolution and transparent documentation.
  • Support audits, special projects, and legal reporting activities as assigned.
  • Monitor regulatory and contractual changes, assisting in the review and implementation of updated policies, procedures, and documentation standards.
  • Maintain confidentiality and precision in all administrative functions to safeguard sensitive information, uphold organizational integrity, and ensure compliance with HIPAA and related privacy regulations.
  • Assist with Flight Crew Incident Reports (FCRs) to ensure accountability, which is critical for maintaining operational safety, regulatory compliance, and continuous improvement within flight operations.
  • Assist in the coordination, documentation, and communication of Med Air cases, ensuring compliance with operational protocols and timely support to relevant teams.


  • Act as a liaison to promote clear, consistent, and professional communication between flight crew members and management regarding data-driven findings and process impacts.
  • Perform other duties as directed by the Manager, Flight Crew Operations Support


Qualifications:



  • High school diploma required; college degree preferred.
  • Minimum 4 years of aviation or administrative experience
  • Experience in Part 121/135 operations preferred
  • Proficiency in Microsoft Excel, AIMS, and/or similar crew scheduling software.
  • Aviation or logistics industry experience strongly preferred.

  • Exceptional attention to detail and organizational skills.
  • Excellent written and verbal communication abilities.
  • Proficient with Microsoft Office and document management systems.
  • Ability to handle sensitive information discreetly.

Competitive compensation will be offered based on a variety of factors, including a candidate's experience, skills, education, geographic location, internal equity and other factors. In addition, a range of benefits to include medical, dental and vision insurance, employee assistance program, as well as generous paid time off, and 401K contributions are offered as a part of the total compensation package.
