Our company is one of the most significant publicly traded water, wastewater service and natural gas providers in the U.S. Job Summary The Administrative Supervisor will be responsible for the oversight and coordination of operations for the designated area, in addition to performing basic supervisory responsibilities. Create job procedures, monitor performance and work load of Field Admin team and New Construction Coordinators, while ensuring quality and maintaining standards for all areas. Strong collaboration skills; motivating leader and is able to function with minimal supervision. The supervisor will be responsible for developing a balance between core supervisory and lead duties.
- Daily supervision of all Field Administrative Assistant functions within Operations, and New Construction / Gas Application Coordinators and Customer Service Admins within Construction group. Oversee and coordinate their daily activities to ensure gas application processing coverage and phone coverage
- Coordination of resources; resolution of grievances and disciplinary issues; organization and leadership of communication, safety, and compliance including the completion of action plans
- Serves as a liaison between internal partners, Construction, Design, O&M and Closeout but will not have day to day oversight of the work outside of his or her area
- Plan, schedule, assign and monitor the work of others as applicable to the projects and team responsibilities. Track data, create and distribute reports as requested. Maintain our Marketing Inbox, SharePoint Site, folders and tracking spreadsheets
- Develop processes and procedures. Conduct system quality testing and assist in development, interpretation, and delivery of policies and procedures for department. Train and provide direction to staff members as needed
- Monitor budget goals and control spending and overtime within approval levels
- Analyze, create, update, and maintain all departmentalreports and administer the department's various databases
- Approve Time, vacation request etc...
- Other duties as assigned
Basic Requirements:
- The ability to create a cohesive team, collaborate with stakeholders, instill enterprise focus, and motivate a team of supervisors and employees in achieving results
- Demonstrated leadership qualities andresponsible for ensuring teaming and collaboration with multiple departments across functions, and locations.
- Strong knowledge of SAP system
- Preferred knowledge of the companies operating systems and territories.
- Knowledge of SOPs, practices, procedures, federal/state/PUC regulations.
- Exceptional skills in Microsoft software, required compliance and/or tracking applications and systems.
- Strong planning, organizational, and systems management skills and the ability to effectively manage costs, personnel and schedules.
- Written/verbal communications; time management skills; detailed orientated; and able to manage conflict, and problem-solve motivate and lead change
Minimum Qualifications:
- Minimum of 5-year experience in Utility, Administration, Customer Service or related industry
- Minimum of 2-year leadership experience and/or supervisory role preferred; or advancing leadership duties.
Demonstrated success in leadership role. Demonstrated success in Company systems. - Bachelor's degree in Business, Management, Communication or similar required.
Demonstrated related experience may be substituted for preferred education. - Valid drivers license and ability to travel to field shop locations
While performing the duties of this job, the employee must be able to:
- 20-30% travel to work sites of Peoples.
- Perform sedentary work. Exerting up to 10 pounds of force occasionally, and/or negligible amount of force frequently or constantly lift, carry, push, pull or otherwise move objects, including the human body.
- Utilize modern communication and information technology methods in emergent and urgent situations.
- See, hear, talk, communicate, stoop, stand walk, and perform tasks requiring manual dexterity.
- Physical working conditions include exposure to noise.
