*Description*
The Administrative Operations Coordinator is responsible for coordinating administrative operations and support services for the Test and Training Range Capability Division of the Aerospace, Transportation, and Advanced Systems Laboratory of Georgia Tech Research Institute. Key areas of responsibility include travel and event coordination, procurement, financial and administrative records, building support, and onboarding. The role requires frequent interaction with unit management, research faculty, and staff, vendors, and visitors to ensure smooth and efficient office operations. The candidate will report to the Lab Administrative Manager and collaborate with a team of administrative staff within the lab. General Administrative Support: Manage calendars, schedule meetings, and coordinate appointments for unit leadership, research faculty, and staff. Prepare agendas, take meeting minutes, and create presentations and reports. Handle routine correspondence and maintain organized electronic and paper files. Travel Coordination: Arrange and book travel (airfare, lodging, ground transportation, etc.). Prepare travel documents or itineraries for travelers. Process travel and non-travel expense reports, pre-approvals, and reconcile travel claims Event Coordination: Plan and coordinate meetings, interviews, workshops, and events for internal and external participants. Manage event logistics, including room reservations, virtual meeting links, catering, A/V needs, and visitor access. Procurement and Finance: Use a Procurement Card (PCard) to procure materials and supplies in accordance with institute policies. Reconcile PCard and other purchasing activity accurately and on time. Maintain budget-related records and documentation. Generate financial and budget reports as requested. Maintain accurate inventory records for equipment, supplies, and other assets. Facilities Coordination: Submit and track building operations and maintenance requests. Serve as a primary contact for facilities staff, vendors, and contractors. Coordinate with facilities and IT to set up and maintain workspaces, including furniture and basic office equipment. Onboarding & Personnel Support: Assist with the new employee onboarding process, including initiating paperwork and data entry. Coordinate workspace setup and building access for new employees. Administrative Policies & Procedures: Maintain and update unit administrative policies and procedures as directed. Perform other administrative duties as assigned *Additional Skills & Qualifications* Advanced skills in general office operations, including: Travel coordination Procurement and purchasing processes Records management Building access and maintenance coordination Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and time management skills with the ability to manage multiple priorities in a high-volume, deadline-driven environment. High attention to detail and accuracy in documentation and data entry. Excellent written and verbal communication skills. Ability to build and maintain effective working relationships and provide high-quality customer service to internal and external stakeholders. *Experience Level* Expert Level *Job Type & Location*This is a Contract to Hire position based out of Orlando, FL. *Pay and Benefits*The pay range for this position is $24.04 - $28.37/hr.
