Key Responsibilities:
- Student Support & Success: Oversee the development, implementation, and continuous improvement of student success initiatives for the MPA and LPS programs, ensuring an inclusive and supportive environment for diverse student populations, with particular attention to military students.
- Administrative Oversight: Manage all administrative operations for the LPS and MPA programs, including enrollment, registration, scholarship processing, financial aid issues, and graduation requirements, while ensuring compliance with university policies. This includes management of multiple streams of federal aid for military-affiliated students.
- Financial Management: Oversee budget management for the LPS and MPA programs, including utilizing budgetary tools to assist with revenue forecasting and expenditure analysis. Track scholarship administration, communicate with sponsors about reimbursement, and oversee application of scholarships to student accounts. Manage gift funds and provide updates and forecasts of use of gift funds each semester.
- Operations: Lead logistics and operations of multiple off-site class locations for the miliary-affiliated courses, including ensuring that technology works efficiently, onsite support is available as needed, and coordinating with building management. Support operations for additional meetings and events as requested.
- Communication & Engagement: Lead the creation and dissemination of regular communications to students, faculty, and adjuncts, including but not limited to program newsletters, event invitations, and official announcements. Manage internal and external communication strategies in coordination with the CLPS Marketing Coordinator to keep all stakeholders informed and engaged.
- Alumni and Donor Relations: Maintain the alumni database and manage operations and support planning for the SoPP Alumni Council, including setting meeting agendas and facilitating sessions as requested.
- Data & Records Management: Ensure accurate and secure maintenance of student records, including degree plans, recruitment data, and academic progress tracking. Utilize data to assess and proactively recommend program changes to meet student needs and improve outcomes and program effectiveness. Assist with the development and distribution of regular student and alumni surveys.
Job Skills and Requirements:
- Experience: At least 1-3 years of experience in student affairs, higher education administration, or a related field, with a demonstrated ability to manage complex administrative functions and student services.
- Education: A Bachelor's degree is required.
- Analytical and Problem-Solving Skills: Strong analytical and problem-solving skills with the ability to make sense of and manage complex processes and financial data. Proficiency with Microsoft Excel.
- Commitment to Service and Collaboration: A proactive, positive, and service-oriented attitude with a strong focus on meeting the needs of students, faculty, and the broader academic community. Must demonstrate excellent interpersonal skills and the ability to work with individuals at all levels, including senior leadership.
- Communication Skills: Exceptional written and oral communication skills with the ability to effectively communicate complex information to a variety of audiences. Ability to create engaging newsletters, reports, and other written materials.
- Technological and Data Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and ability to learn university content management systems (CMS) and student information systems. Ability to quickly learn and adapt to new software and tools.
- Multitasking & Attention to Detail: Capable of managing complex tasks in a fast-paced environment while maintaining meticulous attention to detail, timelines, and ensuring high-quality results.
