Description

MES is looking for a Litigation Coordinator Manager to join our team!

The Litigation Coordinator Manager is responsible to assist with the daily workflow of the legal services department and act as a senior advisor to the team. This position is required to have a complete understanding of the duties required below and provide overall direction and support to the Litigation Department. This position helps to provide leadership and direction to ensure best practices are carried out in order to deliver superior services and achieve organizational effectiveness and efficiency.

The schedule for this role is Monday to Friday 8:00am to 5:00pm.

ESSENTIAL DUTIES AND RESPONSIBILITIES:



  • Schedules and coordinates all legal services including, but not limited to, trials, conferences, videos and depositions. Ensures all scheduling practices are managed with a high level of consideration for the client and physician availability.
  • When required, answers multiple phone lines in a professional and courteous manner and responds to all inquiries promptly.
  • Provides written confirmation via email, fax or regular mail of all scheduled services, including but not limited to, trial dates and times, fees, cancellation policies and/or any other pertinent information required to ensure all scheduled services are managed effectively.
  • Review the calendar of all scheduled services and ensures all follow ups are performed 1 to 2 days prior to each scheduled service with all parties involved.
  • Receives and responds to all trial letters and enters all required information into the system database. All responses must be answered immediately or as soon as physician availability is confirmed.
  • Receives and responds to all subpoenas by the required deadline. Communication is required with the defense attorney before answering any subpoena.
  • Communicates with physicians on a daily, weekly and monthly basis to confirm availability and/or any scheduling changes that would impact legal services. Maintains and updates the calendar and database accordingly.
  • Research, maintains and updates the credentials of all panel physicians according to the primary source verification policies and all URAC procedures. This includes maintaining our database, updating Excel spreadsheets, running reports and corresponding with physicians to ensure up-to-date information is on record at all times.
  • Performs various clerical duties such as typing, filing, emailing, and proofreading as required.
  • Ensures all practices are carried out in accordance with HIPPA compliance practices and all state and federal safety standards and legal regulations.
  • Promotes effective and efficient utilization of all company supplies and resources.
  • Performs other duties as assigned by management.


SUPERVISORY RESPONSIBILITIES

Responsibilities include, but are not limited to:



  • Carries out all managerial responsibilities in accordance with the company's standards, policies, and all applicable employment laws.
  • Provides support, training, tools, and techniques to assist staff in achieving department goals and standards.
  • Oversees the completion of employee timecards and coordinates overtime needs with the supervisory management and staff as needed.
  • Encourages positive morale, maintains harmony among staff and resolves grievances when necessary.
  • Directs and actively participates in the departments hiring and employee separation needs.
  • Communicates change effectively and prepares and supports those affected by change accordingly.
  • Actively participates in observing employee performance and ensures the documentation of performance issues are completed as required.
  • Actively provides employee recognition and ensures continuous encouragement and support.
  • Supervise insubordinate staff as needed and initiate corrective or disciplinary actions as required.
  • Ensure periodic performance feedback is communicated with all staff and address any performance concerns, recommendations for job placement and/or growth opportunities to the Director of Operations.
  • Actively participates in successfully conducting annual performance evaluations.
  • Works directly with upper management to ensure all staffing needs are met and the best working environment is achieved.

Qualifications

EDUCATION AND/OR EXPERIENCE



  • High school diploma or equivalent required.
  • A minimum of three years related experience; or equivalent combination of training and experience.
  • Experience in a medical office preferred.
  • Independent medical examination experience/knowledge is preferred.


QUALIFICATIONS



  • Must possess managerial experience and proven leadership skills.
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
  • Ability to follow instructions and adhere to upper managements' directions accurately.
  • Must be knowledgeable in multiple software programs, including, but not limited to, Microsoft Word, Outlook, Excel, and the Internet.
  • Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Analyzes problems involving multiple interrelated causes. Where necessary, gathers information and applies complex concepts or methods to generate an effective solution.
