POSITION SCOPE AND ORGANIZATIONAL IMPACT

Moss' Fleet Coordinator is responsible for the daily administration and coordination of a large fleet of approximately 1,000 vehicles. This role ensures fleet compliance, operational efficiency, and driver accountability by managing vehicle documentation, fuel programs, driver records, and training initiatives. The Fleet Coordinator also supports broader Asset Management projects and provides cross-functional assistance as needed.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Coordinate and manage a fleet of approximately 1,000 vehicles, ensuring operational readiness and regulatory compliance

  • Ensure all fleet vehicles maintain current registrations, inspections, and insurance documentation

  • Maintain accurate and up-to-date fleet records within fleet management systems

  • Manage spare vehicles used for site visits, ensuring availability, condition, and proper tracking

  • Issue, monitor, and reconcile fuel cards for assigned vehicles and drivers

  • Track fuel usage, investigate discrepancies, and identify potential misuse or anomalies

  • Coordinate with fuel card vendors to resolve issues and maintain program integrity

  • Assign required training courses to drivers and track completion and compliance

  • Conduct Motor Vehicle Record (MVR) checks in accordance with company policy

  • Maintain current driver qualification files and ensure compliance with internal and regulatory standards

  • Utilize fleet management and telematics systems to monitor vehicle usage, performance, and compliance

  • Generate reports related to fleet performance, fuel consumption, driver compliance, and asset utilization

  • Support system updates, data accuracy, and process improvements related to fleet technologies

  • Assist with projects outside the direct scope of fleet operations, as assigned

  • Provide support on ad hoc and special projects as directed by the Asset Manager in service of the Moss Leadership operational needs

  • May require availability outside regular business hours for urgent fleet issues

  • Perform other duties as assigned

EDUCATION AND WORK EXPERIENCE

  • High school diploma or GED required

  • 2-4 years of experience in fleet coordination, asset management, logistics, or a related administrative or operations role (preferred)

  • Experience coordinating or managing a large vehicle fleet

  • Knowledge of fleet management software and telematics systems

  • Familiarity with fuel card programs and compliance tracking

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)

  • Strong communication, organizational, and coordination skills

  • Ability to enter and exit vehicles regularly and lift, carry, push, and/or pull objects weighing up to 50 pounds
