JOB SUMMARY

The Administrative Assistant reports to the Payroll Coordinator and provides administrative support to the Finance Department.

ESSENTIAL JOB RESPONSIBILITIES



  1. Ability to hold confidential information, exercise good judgement and demonstrate awareness of other people's needs.
  2. Act as a backup to A/P, A/R and Payroll Departments as requested by supervisor.
  3. Organize work and set priorities to meet established deadlines.
  4. Assist in the process of various data entry projects for the fiscal department, including but not limited to daily journal entries and A/P check logs. File Fiscal documents including billing invoices, computer reports, journal entries and paid invoices.
  5. Answer incoming calls. Direct calls to staff or departments through the Mitel system.
  6. Maintain telecommunication system by following manufacturer's instructions for phone and console operation, copiers and postage. Schedule repairs when needed.
  7. Maintain and manage department filing storages, both internal and external (Jack n Jeff Storage). Retrieve stored file boxes per department requests.
  8. Order office and general supplies as requested and allocate expenses to various departments and process Amazon orders as requested.
  9. Maintain breakroom, stock with general supplies as needed and clean at the end of each day
  10. Perform general office duties.
  11. Will think and act quickly and efficiently in emergencies.
  12. Will drive on Agency business.
  13. Physical presence at the program is required.


ESSENTIAL JOB REQUIREMENTS



  1. High school diploma or equivalent.
  2. One (1) or more years of experience in an office environment.
  3. Detail oriented.
  4. Basic computer skills in Office 365, Teams, Zoom and other communication/meeting platforms.
  5. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
  6. Ability to pass a pre-employment criminal background check.
  7. Ability to pass a pre-employment drug screen, and TB test.
