Campus Scheduling Coordinator (Scheduling & Event Services)

We are seeking a Campus Scheduling Coordinator. This essential position serves as event scheduler for all spaces under centralized scheduling as well as all outdoor and tabling areas used by the campus community. This position must provide excellent customer service to all constituents and able to work and communicate with a diverse population of students, staff, and community members.

Specific Duties & Responsibilities

Scheduling & Communication

  • Verify student affiliations and space availability for reservation requests.
  • Convert reservations in the system to confirmed events.
  • Enter tentative setups and equipment for reservations.
  • Generate and follow-up on reservation forms for internal departments.
  • Assist all clients with questions and concerns regarding room reservations and process.
  • Answer phone calls and inquiries.
  • Submit all summer conference classroom requests.
  • Assist with department and student organization training every semester.
  • Participate in institutional planning meetings as the department representative.
  • Assist with communication of event needs to custodial and plant operations.
  • Assist with policy development and review for scheduling.
  • Assist with updating materials, trainings, and information disseminated to the campus community.
  • Participate in student organization trainings and registration process.

Event Coordinating

  • Generate event and group usage reports as requested.
  • Update and send meeting space/event evaluations to event contact, generate quarterly evaluation reports.
  • Provide backup support generating weekly security reports.
  • Assist with setup diagrams using event software as needed.

Special Knowledge, Skills, and Abilities

  • Effective multitasking.
  • Computer skills including adaptability to conference programming software and presentation technology is beneficial.
  • Demonstrated interpersonal, organizational, and problem-solving skills, as well as excellent verbal and written communications skills are required.
  • Excellent customer service.
  • Good attention to detail and analytical skills.


Minimum Qualifications
  • High School Diploma/graduation equivalent.
  • Two years of related experience in facility scheduling required.
  • Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.

Role/Level/Range: ATO 37.5/02/OE
Starting Salary Range: $18.20 - $33.90 HRLY ($46,938 targeted; Commensurate w/exp.)
Employee group: Full Time
Schedule: 8:30am-5pm, M-F
