Job Overview:

The Tennessee Department of Human Services (TDHS) Division of Appeals and Hearings is seeking an experienced Executive Administrative Assistant to provide advanced administrative and operational support to the Assistant Commissioner. The Division of Appeals and Hearings plays a critical role in ensuring due process, procedural integrity, and fairness across TDHS programs. This position requires exceptional judgment, discretion, and professionalism, as well as the ability to understand and represent the nature of the Divisions work in interactions with internal and external stakeholders.

The Executive Administrative Assistant serves as a key point of coordination for the Assistant Commissioners office and must be able to operate effectively and independently in a fast-paced, legally sensitive environment where accuracy, confidentiality, and follow-through are essential.

Key Responsibilities:

  • Mitigate the cognitive load of the Assistant Commissioner by anticipating and executing needs and priorities to support efficient leadership operations.
  • Serve as a trusted liaison and administrative point of contact for the Division of Appeals and Hearings, demonstrating professionalism, sound judgment, and an understanding of the Divisions role and operations.
  • Support leadership by analyzing and/or preparing a variety of detailed, complex reports for internal and external stakeholders.
  • Facilitate effective communication between the Assistant Commissioners office, division staff, legal counsel, judges, other state agencies, and external partners.
  • Prioritize and manage multiple competing demands while handling matters proactively, accurately, and with appropriate urgency.
  • Provide comprehensive day-to-day executive and operational support, including planning, coordinating, and managing an extremely active calendar of appointments, meetings, and hearings-related obligations involving internal leadership, legal staff, interagency partners, and external stakeholders.
  • Draft, review, and edit correspondence, presentations, and other materials on behalf of the Assistant Commissioner, ensuring clarity, accuracy, and professionalism.
  • Plays a key role in coordinating and supporting special projects, process improvements, and operational initiatives under the direction of the Assistant Commissioner.

Minimum Qualifications:

  • Bachelor's degree and 2+ years of full-time professional staff administrative experience or related work.

PREFERRED SKILLS

  • Master's degree from an accredited college or university preferred.
  • Prior experience in a legal environment and familiarity with administrative law or court-related processes and their operational impact is strongly preferred.
  • Advanced proficiency in Microsoft Office applications, including Outlook, Teams, Word, Excel, and PowerPoint.
  • Demonstrated ability to exercise sound judgment and discretion in a legally sensitive environment, maintaining professionalism and composure in high pressure or high visibility situations.
  • Proven ability to work independently, anticipate needs, manage shifting priorities, and maintain strong organizational ownership and follow through.
  • Experience compiling operational data, preparing executive level materials, and supporting decision making through clear, accurate reporting.
  • Exceptional attention to detail when handling sensitive or confidential information, with the ability to interact professionally and credibly with internal and external
    partners.
