The Facilities Project Specialist & Move Coordinator manages facility-related projects and workplace relocations, ensuring seamless transitions completed on time, and according to specifications. This role serves as the primary liaison for all employee moves and facility changes while collaborating with stakeholders, overseeing contractors, and ensuring compliance with safety and regulatory standards.
Key Responsibilities
Customer Relations & Communication
- Serve as primary point of contact for employees and managers regarding move requests, facility projects, and inquiries
- Provide exceptional customer service throughout the move and project process
- Communicate timelines, requirements, and expectations clearly to all stakeholders
- Address concerns and resolve issues promptly and professionally
- Interface with external design firms, contractors, internal customers, and department leadership
Space Planning & Requirements Analysis
- Conduct consultations with managers to understand departmental needs and space restrictions
- Assess workspace requirements based on team size, function, and equipment needs
- Evaluate current space utilization and recommend optimal seating arrangements
- Plan facility changes for plant, office, and production equipment layouts using CAD
- Ensure compliance with facility standards, safety regulations, & building codes
- Develop criteria and performance specifications required to meet unique operating requirements
Project & Move Coordination
- Develop and manage detailed project plans, move schedules, and budgets
- Coordinate desk-to-desk relocations for individuals and teams
- Schedule, design, coordinate, and implement facilities, real estate, and environmental projects
- Work with IT, security, and other support teams to ensure seamless transitions
- Oversee physical move logistics including furniture, equipment, and technology setup
- Determine project requirements and coordinate with project teams
- Conduct post-move follow-ups to ensure satisfaction and address any issues
Documentation & Reporting
- Maintain accurate records of space assignments, move requests, and project status
- Update floor plans and seating charts
- Track move and project metrics and prepare status reports
- Document lessons learned and process improvements
Knowledge, Skills & Abilities
- Understanding of facilities management principles and practices
- Familiarity with project management methodologies
- Knowledge of building codes, safety regulations, and compliance requirements
- Project management skills, including planning, scheduling, and resource allocation
- Strong interpersonal and customer service skills
- Excellent communication skills (written and verbal)
- Ability to manage multiple projects and priorities simultaneously and meet deadlines
- Proficiency with space planning tools, AutoCAD, and Microsoft Office suite
- Problem-solving and decision-making skills with attention to detail
- Ability to work collaboratively with cross-functional teams
- Capability to analyze complex situations and provide effective solutions
- Ability to adapt to changing priorities and work under pressure
- Ability to interpret technical drawings and specifications
- Willingness to learn and be a team player

Target salary range: USD $74,714.00/Yr. - USD $80,842.00/Yr. This estimate represents the typical salary range for this position based on experience and other factors (geographic location, etc.). Actual pay may vary. This job posting will remain open until the position is filled.
