JOB POSITION: Engineering Systems Coordinator
Division: Engineering Status: Non-Exempt Grade: 108 Job Code: 275 Reports to: Assistant Director, Division of Engineering Services Date: 02-07-23 Revised Date: 12-31-25 Last Reviewed Date: 12-31-25 SUMMARY OF JOB This position will work with discipline leaders and users in order to use technology, tools, and systems to support the complex work processes involved with architecture/engineering, public procurement, construction, contract management, and document management. A successful candidate will be able to rapidly understand business needs, develop reliable and consistent workflow solutions, and support end-users in use of systems. Responsible for analyzing business processes, developing functional requirements, and identifying and implementing solutions that meet business needs. Provides business analysis, process mapping, documentation of requirements, and develops business processes and workflows based on business needs. Develops documentation, training materials, how-to guides, and provides end-user training. Will serve as the system coordinator for project management information software (PMIS) and the New Services Applications, in addition to any other assigned system software. ESSENTIAL DUTIES AND RESPONSIBILITIES Includes the following. Other duties may be assigned or scheduled. * Provide reporting, data analysis, visual outputs, and business intelligence support to organization. * Provides business process analysis and develop solutions focused on customer satisfaction and efficiency. * Manage and administer software systems (including project management information software). * Coordinate and track projects and processes across divisions, and flag process delays. This includes requests for water and sewer service modifications and new service installation requests (New Services Application process). Monitor performance indicators, and deliver regular performance reports. * Maintain vendor and support contracts and services for software systems. * Provide excellent end-user onboarding, training, and technical support in one-to- one and group environments. * Assist other departments with understanding relationship between systems and data, developing interfaces, and aligning tools and processes with organizational needs. * Establish, maintain, and improve workflows and business processes. * Applies considerable initiative and independent judgment within assigned area of responsibility. * Assist with developing and implementing processes and procedures to improve efficiency and customer satisfaction. * Assists in managing and tracking project related schedules and deadlines. * Enters data into various databases and enterprise project management software applications. * Works with Division management to create and maintain Standard Operating Procedures (SOPs). * Write and edit documents, from letters to reports and instructional documents. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Ability to troubleshoot problems and develop creative solutions. * Ability to use independent judgement and initiative to accomplish tasks. * Ability to think logically, plan strategically, analyze information, and solve complex technical problems. * Must possess excellent analytical skills. * Excellent interpersonal skills and ability to interact with all levels of staff and stakeholders. * Demonstrated written and verbal communication skills needed to provide end- user training and ongoing support. * Ability to learn, understand, and apply new technologies. * Demonstrates strong team and leadership skills, including facilitation and consensus building. * Proficiency in use of computers, software-as-a-service and on-premises software environments. * Experience with Authority's software systems is a plus (examples include , Bluebeam, e-Builder, ESRI ArcGIS Pro and ArcGIS Online, Microsoft Project, Microsoft Office, Sharepoint, Laserfische). * Experience with Business Intelligence tools such as PowerBI or Tableau is a plus. * Ability to work with minimal supervision. * Excellent computer skills. * Ability to work safely and obey all safety rules. * Ability to communicate effectively, both verbal and in writing. * Ability to establish and maintain effective working relationship with coworkers, other Water Authority departments and the general public. * Ability to read and interpret documents such as safety rules, operating and maintenance instructions, maps and procedure manuals. * Ability to apply common sense understanding to carry out instructions furnished in writing, oral or diagram form. * Ability to work alone or in a team environment. * Must possess and maintain a good work ethic with a strong emphasis on good attendance, reporting to work on time, completing job assignments in a timely manner, maintaining a good work attitude, performing all job duties as assigned and/or scheduled. * Must be proficient in the use of current computer software using Microsoft Office applications for word processing, spreadsheets, Internet, basic research and electronic data communications. Responsible for using the WVWA Work Order system and other Roanoke City, Roanoke County and WVWA applications as required. EDUCATION and/or EXPERIENCE Bachelor's degree from an accredited college or university in Information Technology, Information Systems, Geographic Information Systems, Engineering/Engineering Technology, Computer Science, Business, Construction Management, Planning, or related field or equivalent combination of education and experience. Four (4) or more years of related experience in business process analysis, project controls, IT application support preferred. CERTIFICATE, LICENSE, REGISTRATION REQUIREMENTS * Must possess a valid Virginia driver's license or have the ability to obtain one within 60 days of employment date. No more than six (6) demerit points on driving record if required to drive Water Authority vehicles. * Certifications in Authority software packages are preferred. If corrective lenses are noted on driver's license, the lenses must be worn when operating Authority vehicles. * Repetitive movement using keyboard and/or office equipment is involved. * Employee must be able to sit for an extended amount of time at a desk or workstation. * Employee must regularly lift, carry and/or move up to 25 pounds and occasionally 50 pounds. Assistance is required on weight amounts above those listed. Failure to do so could result in injury and denied Worker's Compensation benefits.
