Summary

The Parts Manager is responsible for front line customer service in a variety of parts and service areas and for assisting the Service Department in identifying, acquiring, and invoicing all parts to work orders. Responsibilities include parts research, sourcing, data entry, and various administrative duties, all while maintaining a high level of customer service. This role will be expected to drive parts sales by identifying new customer opportunities, reaching out to dormant accounts, and promoting key product lines. This role is proactive and customer focused.

Essential Functions

Leadership:

  • Train new parts specialists soft skills and customer engagement.
  • Recruit, select, and develop parts employees
  • Set objectives for parts employees and monitor results through one on ones and scorecards
  • Conduct performance reviews, training and development activities
  • Drive adoption of aftermarket programs
  • Trains and mentors new parts specialists and warehouse personnel.
  • Coordinate with field technicians and service department to identify opportunities
  • Work closely with parts specialists to ensure smooth transitions from prospecting to fulfillment
  • Provides ongoing training to all parts personnel on parts sales and comprehensive company knowledge
  • Performs other duties as assigned

Operations:

  • Reviews and monitors parts related reports on a daily basis.
  • Develops and implements aftermarket parts sales strategies and opportunities
  • Oversees inventory control withing the main warehouse.
  • Processes vendor returns and credit requests
  • Files and tracks parts warranty claims
  • Researches and processes customer parts orders accurately and efficiently.
  • Fulfills parts requests for the service department
  • Manages physical inventory through cycle count programs
  • Reviews and approves invoices for processing
  • Manages remote stock locations, consignments, customer locker stock and related inventory programs

Sales:

  • Monitors daily parts sales activity to ensure timely follow-up on open quotes, and sales documents
  • Analyze existing service-only or rental-only customers for parts opportunities.
  • Develop relationships with low-spend and inactive accounts.
  • Execute marketing campaigns (oil/filter bundles, seasonal kits, customer stocking programs).
  • Monitor customer buying behavior to identify declines and take recovery actions
  • Identify and contact potential new customers via phone, email, and site visits.
  • Target equipment owners not currently buying parts from your company
  • Other duties as assigned.

Qualifications

Education and/or Experience

  • High school degree or equivalent
  • 3+ years of experience in parts environment, with focus on customer service/support highly preferred
  • Must have ability to identify/source replacement parts (OEM or parts that are comparable to OEM supplied components).
  • SAP experience is a plus
  • Microsoft Office (Word, Excel, Outlook and PowerPoint)
  • Driving is an essential function of this position and a current valid driver's license must be maintained at all times.
  • Must be able to operate a forklift. Training and assistance in obtaining certification will be provided if needed.
  • The employee must frequently lift, carry, push, pull and /or otherwise move up to 50 pounds

The employee may occasionally be exposed to high, precarious places, fumes or airborne particles; outside weather conditions and vibration. The employee may occasionally be exposed to wet and/or humid conditions; toxic or caustic chemicals; extreme cold; extreme heat and risk of electrical shock. The noise level in some work environments is occasionally loud.
