Overview

The Manager will work in close collaboration with the Women's and Children's dyad leaders to develop and advance initiatives specific to the provider practice. The Manager will also assist with daily operations, focusing on enhancing accountability and overall effectiveness within the department. The Practice Manager holds responsibility for overseeing the central administration and fiscal management of provider services for Women's and Children's. This includes coordinating, planning, guiding, and evaluating the non-medical activities of the department to ensure smooth functioning. In partnership with the Associate/Assistant Medical Director of Women's and Children's and the Director of Children's Services Operations, the Manager will assist in managing the department. Key areas of responsibility include provider scheduling, finance, budgeting, auditing, billing, human resource management, and compliance.

The Manager, in collaboration with the dyad leaders, will be accountable for ensuring that practices operate efficiently and successfully. This role also involves working to expand departmental programs and advance their achievements. Regular reporting of data and analytics will be provided to dyad leadership and individual physicians, with a focus on quality of care, productivity, and work efficiency. The Practice Manager will, in collaboration with the Perinatal Level III co-medical directors and Pediatric Critical Care Center (PCCC), coordinate the planning, development, and operation of non-medical aspects of the Level III hospital programs and Children's Institute and services. This includes administrative leadership of Level III Perinatal Services and Pediatric Critical Care Center (PCCC) ensuring compliance with state codes governing Women's and Children's care. The Manager will collaborate and negotiate with Carle leaders, physicians, staff, and network administrators to ensure alignment with expectations as defined by IDPH Regionalized rules.

Work Experience:

  • Related healthcare field - 2 years
  • Women's and Children's service (preferred)

Responsibilities

  • Develops, analyzes, and manages both capital and operating budgets
  • Ensures adherence to established standards.
  • Actively collaborates with the Director to prepare department budgets
  • Make budgetary recommendations and project future financial needs.
  • Monitors, verifies, and reconciles expenditures of budgeted funds
  • Compiles expenditure information and develops cost comparisons.
  • Identifies and implements cost-saving measures within department operations.
  • Supports Perinatal Quality Improvement initiatives by entering data
  • Prepares quarterly and annual reports and distributing them to relevant stakeholders.
  • Uses outcome data and benchmarking to assess resource requirements
  • Optimize department operations
  • Disseminates information, resolves routine inquiries
  • Holds leaders accountable to achieve defined metrics.
  • Establish and lead Level III Perinatal programs and other quality improvement programs
  • Coordinates intra-hospital and inter-hospital regional quality review and education regarding morbidity and mortality data and care-giving practices
  • Maintains professional relationships
  • Facilitate referrals from regional hospitals and providers
  • Ensure timely and efficient customer service.
  • Acts as a liaison between nursing staff, other departments, physicians, and transferring hospitals.
  • Serves as a point of contact for analytic and reporting needs with departments such as Health Information Management (HIM), IMA, Patient Relations, Carle Experience, and Medical Staff Office, and Christie Clinic supporting provider practice and physician performance tracking.
  • Provides support to ensure projects are completed on schedule according to established plans.
  • Serves as project manager for new program development and initiatives with physician groups.
  • Leads the creation and distribution of documents necessary for the maintenance of the Level III Perinatal Center and Pediatric Critical Care Center (PCCC).
  • Communicates, organizes, prioritizes, leads, facilitates, coaches, and problem-solves with reporting leaders and staff to ensure goals, objectives, and operational budgets are achieved.
  • Demonstrates accountability through a commitment to excellence, setting ambitious goals, holding self and others accountable, taking responsibility for outcomes, eliminating barriers, and achieving results.
  • Provides leadership and mentoring to staff to successfully implement projects and achieve metric-driven objectives.
  • Monitors and identifies opportunities enhance revenue through increased volume, programmatic service line growth, cost containment, loss and waste control, resource optimization, and policy improvements.
  • Manages departmental operations
  • Ensure standards of care and service quality align with organizational goals and priorities.
  • Oversee billing, scheduling, and collaborates to support operational efficiency, including auditing documentation and billing in the Pediatric Department, Neonatal Intensive Care, OB Hospitalist physician practices.
  • Actively participates in departmental and organizational committees, as well as local, state, and national committees related to perinatal regionalization.
  • Participates in provider and leadership onboarding
  • Ensure understanding and compliance with processes related to perinatal code compliance.
  • Responsible for assisting, preparing, and maintaining compliance with all regulatory bodies and developing corrective action plans as needed.
  • Manages provider practice and workflow, coordinates scheduling, space planning, and onboarding for new providers.
  • Directly responsible for human resource activities including hiring, performance appraisals, and necessary interventions.
  • Facilitates inpatient pediatric provider meetings, scheduling, agenda preparation, and documentation of minutes.
  • Maintains relationships to facilitate referrals from regional hospitals and providers
  • Ensures high-quality care delivery
  • Shares clinical protocols and processes
  • Support appropriate transfer of maternal and neonatal patients.
  • Obtains, evaluates, and analyzes referral provider and regional hospital feedback and satisfaction with patient referrals to the Carle system, addressing issues and identifying areas for performance improvement.
  • Participates in service recovery initiatives
  • Designs program materials and patient communications as needed.

Compensation and Benefits

The compensation range for this position is $45.25per hour - $77.83per hour. This represents a good faith minimum and maximum range for the role at the time of posting by Carle Health. The actual compensation offered a candidate will be dependent on a variety of factors including, but not limited to, the candidate's experience, qualifications, location, training, licenses, shifts worked and compensation model.
