Viatris is seeking a seasoned Executive Assistant to support our Executive Leadership Team and senior leaders utilizing the Viatris Executive Meeting Center at our Hudson Yards office. This full-time, onsite position presents a distinctive opportunity for a highly organized, discreet, and proactive professional to serve as a key enabler of executive productivity and organizational effectiveness across multiple areas of the business.

The ideal candidate will be a master of coordination and communication, capable of managing competing priorities across several leaders, anticipating needs, and executing with precision. This role requires sound judgment, exceptional attention to detail, and a high degree of professionalism.

Key Responsibilities:

  • Provide advanced administrative support for multiple executives using the Viatris Executive Meeting Center. Prioritize inquiries and requests, troubleshoot conflicts, and make informed recommendations to ensure seamless scheduling and smooth day-to-day operations.

  • Coordinate and support executive meetings and events held at the Hudson Yards Executive Meeting Center, including scheduling, agenda preparation, catering arrangements, and meeting materials in partnership with the Hudson Yards Concierge and Facilities teams.

  • Manage confidential and complex communications and materials, including correspondence, presentations, and reports. Handle sensitive information with the utmost discretion.

  • Coordinate domestic and international travel arrangements, itineraries, and logistics for visiting executives and leadership meetings.

  • Partner closely with Executive Assistants across the Viatris Executive Leadership Team to ensure consistency and alignment of support for leadership activities and on-site engagements.

  • Serve as a central point of contact for all Executive Meeting Center operations, ensuring visiting executives receive exceptional support and that all meeting logistics are executed flawlessly.

  • Track and submit expenses accurately and in a timely manner.

  • Anticipate needs proactively, ensuring leaders are well prepared for meetings, events, and commitments.

  • Provide back-up support to the Hudson Yards Concierge as needed to maintain service excellence within the Executive Meeting Center.

  • Contribute to the ongoing success of the Executive Meeting Center by taking on additional responsibilities and projects as assigned.

The minimum qualifications for this role are:

  • Minimum of a Bachelor's degree (or equivalent) and minimum of 3-5 years of experience, however, a combination of experience and/or education will be taken into consideration.

  • Highly collaborative style. Sincere commitment to working with the leader and the department leadership team, Executive Administrators and Chief of Staff of the Executive Leadership Team, board members, Hudson Yards Concierge, etc.

  • Demonstrated mastery of enabling and supporting the success of others through their role. Has passion and satisfaction in playing a supporting role in the work of the organization.

  • Possesses a passion for details and for ensuring high levels of quality in all work.

  • Seamlessly works with all team members to maximize cross-functional efficiency and effectiveness.

  • Maintains confidentiality with unquestionable integrity.

  • Excellent written communication skills are essential.

  • Ability to think and do-proactively identify issues, generate recommendations, and implement solutions.

  • Excellent organizational skills and attention to detail; ability to handle multiple tasks simultaneously and balance competing priorities.

  • Innate curiosity and drive for continuous learning and improvement.

  • Takes professional pride and satisfaction in performing this essential function for senior leader, Executive Staff, the Board, etc.

  • (English) Ability to read and interpret complex business and/or technical documents. Ability to write comprehensive reports and detailed business correspondence. Ability to work with managers or directors and communicate ambiguous concepts. Ability to present to groups across the organization.

  • Ability to solve problems with complex variables through non-standardized solutions that require independent judgment and analysis.

  • Ability to draw inferences and use deductive reasoning with no prescribed procedures to solve complex problems.

Exact compensation may vary based on skills, experience, and location. The salary range for this position is $$66,000 - $127,000.
