The Program Coordinator is responsible for the administration of the Department of Medicine's Internal Medicine Residency Training and Medical Student Elective Programs. The Program Coordinator will provide administrative support to Program Directors and various Associate Program Directors.

Duties & Responsibilities:

Residency Training Program Administration
  • Coordinates the application interview process: maintains scheduling software, schedules faculty interviewers, trains users how to use program management systems, creates evaluations, and generates score reports.
  • Maintains and updates Human Resource Smartsheets for graduate medical education appointments and regulatory compliance.
  • Coordinates completing and tracking onboarding tasks for new residents: applications, licensure, contracts, certifications, and modules.
  • Maintains New Innovations residency program management software: enters didactic schedules, tracks attendance, compiles data and generates reports, maintains BLS and ACLS certification records; compiles data and sends evaluation reports to residents; creates surveys, organizes data, and sends reports to leadership.
  • Collaborates with and provides guidance to other education program staff to complete projects.
  • Organizes orientation activities.
  • Coordinates graduation dinner ceremony and organizes special events.
  • Schedules and proctors in training exams.

Medical Student Elective Program Administration
  • Coordinates the 4th year medical student elective program, maintains elective rotation schedules for all divisions, communicates with coordinators to approve and drop electives, administers the visiting student application and approval system
  • Credentials and onboards visiting national and international students and observers, and communicates with student faculty advisors.

Faculty Support
  • Coordinates semi- annual review resident meetings with faculty advisors; compiles and distributes faculty evaluations.
  • Assists Directors in completing administrative paperwork for the residency program; drafts meeting minutes, memorandums, and letters of recommendation.
  • Drafts and compiles information for the newsletter.
  • Organizes calendars, schedules meetings, and provides general administrative support to Residency Program, Student Clerkship Director, and Associate Program Directors.
  • Completes employment verifications.

Fiscal Administration
  • Makes purchases for Directors using T and P cards. Coordinates weekly business meals.
  • Coordinates business travel arrangements.
  • Reconciles purchases in Emburse. Purchases supplies in Ibuy.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

  1. Bachelor's degree.
  2. A total of one (1) year (12 months) experience working within a health sciences educational program. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
