Responsibilities

This position is in a fast-paced general surgery practice. The physical address is: 6310 Health Pwk. Suite 200, Lakewood Ranch, FL.

A central scheduler for general surgery handles the coordination and scheduling of all surgical procedures, pre-authorizations, and follow-up appointments for medical practice. They are responsible for collecting insurance and clinical information, communicating with patients and physicians, and ensuring a smooth process for both the patient and the medical team.

Key responsibilities

  • Scheduling: Schedules all general surgery procedures and specialized treatments based on physician requests and established guidelines.
  • Pre-authorization: Manages pre-certifications and pre-authorizations required by insurance companies to confirm benefits.
  • Patient communication: Serves as the main point of contact for patients, providing pre-operative instructions and answering questions about their surgery.
  • Administrative tasks: Collects and organizes necessary clinical and insurance information for the surgery schedule, manages patient history, and handles scheduling changes.
  • Coordination: Works with patients, surgeons, and surgery centers to ensure all necessary steps are taken before and after a procedure.

Communication & Documentation

  • Responds professionally to inquiries from providers, patients, and insurance companies.
  • Accurately documents all scheduling and authorization activities in the appropriate systems.
  • Follows chain-of-command and risk management protocols for addressing issues beyond assigned scope.
  • Collaborates directly with physician clinics to address concerns or clarify surgical instructions and requirements.

Other Responsibilities

  • Scans and attaches relevant documents to patient records.
  • Assists with general office tasks including faxing, data entry, and clerical support.
  • Adheres to all HIPAA and confidentiality standards.
  • Performs other duties as assigned.

Qualifications

Required Knowledge, Skills, Licensure, Training & Travel Requirements (if applicable):

Required skills and qualifications.

  • Strong organizational and multitasking skills.
  • Excellent communication and customer service skills.
  • Proficiency with electronic health records (EHR) and medical scheduling software.
  • Knowledge of medical terminology and insurance procedures.
  • Occassional travel to other locations might be needed.

Qualifications:

  • High School Diploma or equivalent required, Associate degree in healthcare or related field preferred.
  • Minimum of one year of medical experience preferred.
  • Experience in medical scheduling, authorization, or billing required; surgical scheduling preferred.
  • Proficiency in medical terminology, CPT/ICD-10 coding, and insurance authorization processes.
  • Strong knowledge of payer requirements and insurance verification procedures.
  • Excellent organizational, communication, and customer service skills.
  • Proficient in Microsoft Office and EMR/EHR systems.
  • Job requires being reliable, responsible, dependable, and fulfilling obligations.
  • Job requires being careful about detail and thorough in completing work tasks.
  • Knowledge of administrative and clerical procedures and systems, and other office procedures and terminology.
  • Knowledge of electronic equipment, computer hardware, and software, including applications and
  • programming.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
