Job Summary

Operations Assistants provide sophisticated administrative support to the Deputy Director and Medical Director of the department. These positions serve as a central point of coordination for scheduling, communications, travel, meetings and organizational record keeping to support effective operations.

Key Responsibilities:

  • Calendar Management - Schedule meetings, manage deadlines and maintain daily calendars in a fast-paced work environment.
  • Document Production - Generate correspondence, presentations, reports and briefs using advanced Microsoft Office skills, while maintaining confidentiality of sensitive information.
  • Inquiry Response and Information Gathering - Receive and direct inquiries by developing a broad understanding of County departments and policies, conducting research and liaising with staff and stakeholders.
  • Meeting Organization - Compile structured agendas, create and assemble reference documents, take detailed notes, capture decisions and action items, and monitor the progress of tasks to ensure follow-up and completion.
  • Travel Coordination - Coordinate conference registrations, reserve hotel accommodation and arrange transportation while maintaining accurate financial documentation.
  • Event Coordination - Secure event venues, coordinate catering, set up audio/visual technology, and provide other logistical supports.

These positions may need to occasionally work from alternate locations or work early morning, evening or weekend hours, outside the typical work schedule.

The Operations Assistant that supports the Medical Director will typically work Monday through Friday, from 8:30 AM to 5:00 PM and will be based in Sterling, Virginia. Previous experience working in a hospital or other healthcare setting and familiarity with electronic health record (EHR) systems is preferred.

The Operations Assistant that supports the Deputy Director will typically work Monday through Friday, from 8:30 AM to 5:00 PM will be based in Leesburg, Virginia. Previous experience in public sector health and human services is preferred.

Minimum Qualifications

High School diploma or equivalent; four (4) years of related clerical/administrative work experience with computer automated systems and office applications experience; or equivalent combination of education and experience.

Preferred Skills:

  • Advanced proficiency in Microsoft applications, including Microsoft Outlook, Word, PowerPoint, Excel and SharePoint.
  • Previous experience working in a government, healthcare, or human services setting.
  • Previous experience working within electronic health record (EHR) systems.

Job Contingencies and Special Requirements

Employment is contingent upon successfully passing pre-employment background check to include fingerprinting, credit, NCIC, DMV and TB test. Must have a good driving record and a valid driver's license in Virginia or regional state of residence.
