Summary:

The Accounting Assistant will work under the supervision of the Senior Accounting Manager to provide accounting services and/or process accounts payable. Job Duties & Responsibilities: Perform the following accounts payable duties:
  • Ensure timely and accurate invoice processing and payment.

  • Match invoices to the purchase order and check for proper approval prior to keying in for payment.

  • Generate weekly Check and ACH settlement runs for manager approval.

  • Mail check payments and match check copy to invoice.

  • File all invoice payment package in respective folders.

  • Maintain Supplier File within Accounts Payable system.

  • Process 1099's at year end

  • Assist with annual audit.

  • Perform month end tasks

Demonstrate understanding of Joint Commission and other regulatory agency compliance regulations.
  • Involve self in the learning and application of relevant standards.

  • Participate in in-services, seminars and other meetings to increase involvement and awareness of regulations.

Participate in hospital committees, meetings, and team projects, as applicable.
  • Demonstrate punctuality and preparedness.

  • Demonstrate effective chairperson skills, if applicable.

  • Demonstrate effective communication skills.

  • Demonstrate good organizational skills with agenda and minute preparation.

  • Contribute in a positive, solution-focused manner.

Support the efficient and effective use of computerization.
  • Assist the Information Systems professional in the design, research and purchase of hardware and software that is related to your position/department.

  • Participate in or chair those meetings regarding any decisions regarding the improved use of the financial systems.

  • Gain proficiency with hardware and software use by initiating the participating in educational activities.

Conduct self in a professional manner.
  • Demonstrate organizational skills that promote timely response to all inquiries and to project completion.

  • Communicate with all individuals in a positive and professional manner.

  • Attempt to resolve individual issues with peers in a positive, calm manner, with a focus on solution.

  • Communicate concerns and provide solutions for same.

  • Attend outside seminars and/or educational classes to promote professional growth.

  • Interact with external professional peers to create a professional network.

  • Comply with the Hospital's policies and procedures, including human resources, infection control, and employee health policies and programs.

  • Project a professional image by wearing appropriate, professional attire.

Physical/Mental Demands:
  • Be able to effectively communicate with all levels of staff.

  • Verbal and hearing ability required to interact with patients and employees. Numerical ability required to maintain records and operate a computer.

  • Must be able to read and communicate through written, verbal and auditory skills and abilities.

  • Be able to plan, control and direct all aspects of employee relations. Tact required to interact effectively with employees and professional staff. Logical thinking and discretion required to make decisions in initiating and implementing policies and procedures and standards.

  • Position requires walking, sitting and standing. Lifting is moderate; must be capable of lifting a minimum of twenty (20) pounds. Reaching, handling, grasping and manual dexterity are necessary to operate various pieces of office equipment.

  • Be physically/mentally able to perform job duties as verified by a physical exam by a licensed physician, per post-employment physical.

Education/Training Requirements:
  • Minimum two-year Associates Degree in Accounting required and/or Bachelor degree in Business Administration or Accounting preferred.

  • Minimum two (2) years of experience in an accounting or accounts payable position (depending on position applying for).

  • Computer proficiency and working knowledge of Windows packages; specifically, Microsoft Office Suite - Outlook, Word and Excel.

  • Valid Wisconsin driver's license and acceptance by the Hospital's insurance carrier.
