About the Job:

The Mobile Equipment Administrator is a critical administrative and analytical role responsible for supporting the entire lifecycle of the organization's mobile equipment fleet, from capital planning and acquisition to disposition and inventory management. This position works closely with the local Mobile Equipment Managers, Area Operations Managers (AOMs), and various corporate and site-level personnel to ensure efficient equipment sourcing, management of the Capital Asset Financial Expenditure (CAFE) process, component exchange tracking, and accurate reporting to support strategic operational decisions.

What You'll Do:

Capital Asset Financial Expenditure (CAFE) & Capital Rebuild Management:

  • Annual Planning: Collaborate with Division Mobile Manager and local Mobile Managers to review and develop the annual CAFE list and coordinate the ordering of new equipment.
  • Capital Justification: Assist Management team in evaluating equipment for capital rebuild needs, developing comprehensive justification and cost quotes (AFE -

    Authorization for Expenditure), and preparing for presentation and approval.

  • Project Lifecycle: Support and coordinate the full equipment acquisition process, including ordering, follow-up on delivery, in-service setup, and project close-out.
  • Obsolescence Management: Coordinate obsolescence management, including the sale of equipment or reallocation to other locations.

Equipment Sourcing, Utilization, and Inventory:

  • Equipment Sourcing: Support local Mobile Managers and Equipment Management System (EMS) Coordinators with equipment sourcing/needs, including coordinating external rentals and internal sourcing (e.g., equipment moves between locations).
  • Rental Management: Track and monitor rental costs and coordinate with operations.
  • Utilization Review: Conduct equipment utilization reviews with Area Operations Manager to optimize fleet deployment.
  • Inventory Management: Support Mobile Managers with new inventory management processes.
  • Component Tracking: Review component invoices for the component exchange program to ensure accurate cost tracking and accountability.

Reporting, Data Management, and Administrative Support:

  • Dashboard Creation: Collaboration (with the mobile management team) and facilitate the creation and updating of the Mobile Dashboard. Coordinate the hand-off and ongoing support to Area EMS Coordinators.
  • Manager Reports: Generate and distribute comprehensive reports for Managers and Area Managers on fleet status, costs, and utilization.
  • System Support: Provide support to Area Mobile Equipment Managers with reports, budgets, systems training, and data/information needed for Weekly Huddles.
  • Construction Equipment Analysis: Analyze and report on construction mobile equipment (paving, grading, stripping, concrete rehab, sign, and traffic) to ensure clear understanding of cost versus revenue.

    Meeting and Team Support:
  • Meeting Participation: Support the team on the corporate Monday morning conference call and the weekly Central Mobile Huddle.
  • Management Support: Support the team on weekly team huddle calls (or coordinate the necessary data/information for EMS Coordinators/Area Mobile Managers attending).
Qualifications

Skills You'll Need:

Required:

  • Experience: Minimum of 3 years of administrative and/or analytical experience in a role managing capital assets, fleet, equipment, or heavy machinery.
  • Technical Skills: Advanced proficiency in Microsoft Excel for reporting and data analysis.
  • Core Skills: Strong organizational and project management skills with the ability to manage complex, multi-stage projects (e.g., the AFE process).
  • Understanding: Basic understanding of financial concepts, including depreciation, capital expenditures, and cost-revenue analysis.

    Preferred:
  • Knowledge: Familiarity with the heavy equipment, construction, or mining industries.
  • Education: Bachelor's degree in Business Administration, Finance, Supply Chain Management, or a related field.
