Red Seat Ventures is seeking an experienced and highly organized Event Producer to support the end-to-end planning and operational execution of our fan-focused live event portfolio.

This role leads the coordination of logistics, exhibitor and sponsor relations, and vendor management across multiple large-scale events. The ideal candidate is a proactive problem solver who thrives in fast-paced environments, enjoys managing complex workflows, and brings strong communication and relationship-building skills.

This is a hybrid position based in New York, NY, with occasional travel (1-3 times per year) for events and site visits.

A SNAPSHOT OF YOUR RESPONSIBILITIES

  • Serve as the day-to-day operational lead for event logistics and planning.

  • Manage communications with exhibitors, creators, and sponsors, ensuring all deliverables and deadlines are met.

  • Oversee expo hall planning, including exhibitor approvals, product reviews, and booth assignments.

  • Manage incoming sponsor inquiries and proposal requests.

  • Coordinate sponsorship fulfillment-tracking benefits, signage, ads, activations, and producing post-event recap reports.

  • Oversee creator and talent logistics, including outreach, contracting, travel coordination, and marketing deliverables.

  • Collect and track partner deliverables (e.g., creative assets, logos, copy, and specs).

  • Oversee merchandise production timelines, including staff and VIP gear, and coordinate consignment orders.

  • Coordinate onsite book sales by sourcing and managing bookseller partners, overseeing inventory, and on-site execution.

  • Liaise with freelancers, contractors, and vendors to ensure cross-departmental alignment.

  • Support housing, BEO review, and venue invoice reconciliation.

  • Monitor event inboxes and ensure timely, professional communication across departments.

  • Manage attendee ticketing, including sales tracking, payment resolutions, discount codes, and special-case ticketing.

  • Support compliance, insurance, and legal documentation for partners and vendors.

  • Track contracts, invoices, and budgets across multiple workstreams.

  • Manage invoicing, vendor onboarding and billing follow-ups.

  • Create post-event reports using attendee survey feedback and data insights to inform internal debriefs and partners.

WHAT YOU WILL NEED

  • 7+ years of experience managing event logistics or large-scale event operations.

  • Exceptional organizational and project management skills with the ability to manage multiple priorities simultaneously.

  • Strong communication skills and experience working directly with partners, clients, or sponsors.

  • Proven ability to execute with precision in a fast-paced, deadline-driven environment.

  • High attention to detail with comfort managing complex workflows involving many stakeholders.

NICE TO HAVE, BUT NOT A DEALBREAKER

  • Experience working with sponsors or talent in live event or convention settings.

  • Familiarity with cause-based or community-driven organizations.

  • Prior experience producing fan conventions, expos, or media-related live events.

  • Working knowledge of platforms such as Google Workspace, Sched, RegFox, and Dropbox.

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $83,000.00-110,000.00 annually. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
