Job Summary
The Invention and Intellectual Property Compliance Manager is a first line of communication as data manager for new invention disclosures - intake, record creation, critical data collection and management. Subsequently, this role oversees invention reporting and grant close-outs for Federal funding compliance. Additionally, this role contributes to the continuing enhancement of non-Federal (sponsor) reporting compliance.

Proper intake and triage of data related to invention disclosures form the foundation of all ongoing and future Intellectual Property (IP) management at BCH. Clear and accurate information-regarding inventors, ownership, funding sources, and related details-is essential to maintain both Federal and non-Federal funding, preserve rights to inventions, and prevent ownership disputes or litigation. Precise and consistent recordkeeping from the time of disclosure is critical for long-term success in licensing and research funding.

Key Responsibilities
  • This positions will triage intake of new invention disclosures via paper or inventor portal. Perform initial review of disclosure submissions and initiate communication with Inventors to provide record case number and Licensing Manager assignment/contact information.
  • Coordinate with the Licensing Manager to assign new disclosures for review. Confirm key data with Inventors and the Licensing Manager, including funding sources, grants, publications, and inventor details. Notify relevant third parties-such as co-owners, sponsors, and foundations-of invention receipt when applicable.
  • Ensure technology records and Inventor contact records are kept up to date, including reaching out to Inventors and co-owners and following up until requested information is obtained. If Inventors change institutions, making every effort to find and confirm new contact information. Manage pre-disclosure correspondence between potential Inventors and Licensing Managers and track in database.
  • Report new invention disclosures with Federal funding to the appropriate agency in the times required. Work with Licensing Manager to make sure that the disclosure and additional material submitted is sufficiently complete in technical detail to convey a clear understanding to the extent known at the time of the disclosure. In the case of co-ownership, coordinate with co-owner to ascertain party responsible for reporting and compliance.
  • Work with OSP to complete all grant close-out requests, including pulling grant reports from iEdison and validating that all inventions and patents have been reported and regulatory requirements have been met. Manage outbound sponsor compliance reporting obligations (corporate, foundation, etc.) and continue to develop the non-federal compliance program for office, including adding funder terms and conditions to database to facilitate proactive reporting of inventions to all non-Federal funding institutions.
  • Assist law firms with collection of signatures for Assignments, Power of Attorney forms, and other critical documents as needed. Working across office with internal stakeholders to prepare reports, support data management.
Minimum Requirements
Education
  • BA required, or equivalent AA and 4 years related work experience.
  • Degree in business fields, computer sciences, library sciences preferred.
Experience
  • Work requires experience as a data manager working in databases with large volumes of complex data, with an ability to learn and master the internal IP management system.
  • Work requires ability to learn and become knowledgeable about Bayh-Dole, Federal compliance, and the NIST-iEdison system for Federal reporting.
  • Work requires the analytical skills to resolve complex problems requiring the application of business or technical principles, theories and concepts and in depth, experienced based cross functional knowledge.

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.
