About the Role

The Program Assistant plays a vital role in supporting the successful planning, coordination, and execution of various organizational programs. This position ensures that all program activities run smoothly by providing administrative support, managing communications, and assisting with logistical arrangements. The Program Assistant acts as a liaison between program staff, participants, and external partners to facilitate effective collaboration and information flow. By maintaining accurate records and tracking program progress, the assistant contributes to the overall efficiency and impact of the programs. Ultimately, this role supports the organization's mission by enabling program teams to focus on delivering high-quality services and outcomes.


Job Responsibilities

  • Provide administrative support including scheduling meetings, preparing documents, and managing correspondence related to program activities.
  • Assist in coordinating program events, workshops, and training sessions by handling logistics such as venue booking, materials preparation, and participant communication.
  • Maintain accurate and up-to-date records of program data, participant information, and progress reports to support monitoring and evaluation efforts.
  • Serve as a point of contact for program participants and stakeholders, responding to inquiries and facilitating effective communication.
  • Support program staff with various tasks as needed to ensure timely completion of project milestones and deliverables.


Minimum Qualifications

  • High school diploma or equivalent.
  • Proficiency in basic computer applications such as Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and time management skills.
  • Effective verbal and written communication abilities.
  • Ability to work collaboratively in a team environment.


Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience in program coordination or administrative support roles.
  • Familiarity with project management tools and software.
  • Customer service experience.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
