About the Role

The Program Assistant plays a vital role in supporting the successful planning, coordination, and execution of various organizational programs. This position ensures that all program activities run smoothly by providing administrative support, managing communications, and assisting with logistical arrangements. The Program Assistant collaborates closely with program managers and team members to track progress, prepare reports, and maintain accurate records. By handling day-to-day operational tasks, this role enables program leaders to focus on strategic objectives and stakeholder engagement. Ultimately, the Program Assistant contributes to the overall effectiveness and impact of the organization's initiatives by ensuring seamless program delivery.


Job Responsibilities

  • Provide administrative support including scheduling meetings, managing calendars, and coordinating travel arrangements for program staff.
  • Assist in the preparation and distribution of program materials, reports, and presentations.
  • Maintain accurate and up-to-date records of program activities, participant information, and budgets.
  • Coordinate communication between program teams, stakeholders, and external partners to ensure timely information flow.
  • Support logistical arrangements for events, workshops, and training sessions related to program activities.


Minimum Qualifications

  • High school diploma or equivalent.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work collaboratively in a team environment.


Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Communications, or related field.
  • Experience working in program coordination or administrative support roles.
  • Familiarity with project management software or tools.
  • Basic knowledge of budgeting and financial tracking.
  • Ability to handle multiple tasks and prioritize effectively under deadlines.
