Job Summary

Access Representative PRN

Access Representatives support healthcare delivery systems by facilitating patients' entry into the system as well as their continued access to healthcare services. Access Representatives communicate with physicians, insurance companies, government payers, health system representatives, and patients, to verify eligibility and benefits; obtain authorizations; register patients; provide financial counseling; obtain sponsorships for unsecured accounts; provide liaison with referring physicians; assign beds; coordinate nursing resources; track patient property; and perform other similar functions within the hospital and clinics. Access Representatives support both inpatient and outpatient systems and are distinguished from Medical Officer Service Coordinators in that the latter are primarily based in and perform a broad array of services for outpatient clinics.

Minimum Qualifications

  • Working knowledge of eligibility, authorization and utilization review requirements related to Federal, State and County sponsored programs including but not limited to Medicare, Medi-Cal, CMISP, California Children Services, Champus, HMO, PPO and managed care groups.

  • Documented experience using the following computer applications: EPIC, Microsoft word, Microsoft Outlook, Excel, Internet (for insurance web sites, UCDHS policy and procedure updates).

  • Working knowledge of medical terminology, anatomy, ICD-10 and CPT coding.

  • Working knowledge of online registration, verification and authorization procedures.

  • Ability to apply HIPAA guidelines appropriately when working with payors, families, departmental staff and other outside entities.

  • Skill in analyzing a variety of factors regarding eligibility, third party payors, authorization and benefit limits to determine the need for further facts or administrative consultation; Calculate percentages and perform mathematical functions to estimate balances.

  • Interpersonal skills to establish and maintain a friendly, welcoming environment; demonstrate an interested, understanding, compassionate and caring manner, maintain a courteous and calm demeanor, and use a proactive approach to negotiate a resolution acceptable to all parties.

  • Skill in interviewing individuals from diverse cultural backgrounds including, listening perceptively, identifying and clarifying financial problem areas, interacting effectively with a variety of behaviors including fear, grieving, hostility and non-cooperation, ensuring that the individuals clearly understand their rights and financial options.

  • Ability to evaluate and continuously reprioritize workload to ensure financial security is maintained and payor timelines are met.

  • Problem solving skills to independently recognize and define a problem; identify resources available to assist in solving the problem; create and implement viable solutions and follow through to ensure a problem is resolved to the satisfaction of all parties involved.

Department Description

Temporary Employment Services provides temporary employees to various departments throughout UC Davis Campus in Davis and UC Davis Health Campus, at the request of the departments. Employees can elect to be considered for assignments on either or both campuses although most Access Rep positions will be located in Rancho Cordova or the greater Sacramento area. The available assignments can be full-time, and short-term or long-term in duration. Patient Access Representatives are limited to 5.5 months.

Work Environment

  • Must be available to work variable shifts: days/hours (weekends, holidays, overtime, etc.) and float to other units/areas/buildings.
  • May work prolonged periods at a desk utilizing multiple computer screens
  • May work with or be exposed to very sick patients and hazardous wastes (e.g., blood, body fluids, biohazard, pharmacy waste, chemo waste, needles and other sharp waste)
  • May work in areas where hazardous materials are present.
  • Personally responsible for following safety procedures and guidelines.

Special Requirements

  • This position is a critical position and may be subject to a background check and drug screen. Employment is contingent upon successful completion of background investigation including criminal history, identity checks and drug screen.
