Your responsibilities

Job Purpose: This Intern will support the Purchasing and Supply Chain team in supplier management, procurement processes, and operational tasks. This role is designed to provide hands-on experience in sourcing, negotiation, contract management, and purchase order administration while ensuring compliance with company policies and timelines.

Your Tasks:

Supplier Management & Communication

  • Conduct potential supplier searches (minimum 5-6 suppliers per week).
  • Initiate and maintain contact with suppliers via email and website inquiries.
  • Follow up with suppliers through calls and emails (56 suppliers per week).
  • Coordinate Non-Disclosure Agreement (NDA) process:
  • Send NDA documents via DocuSign and follow up for completion.
  • Manage NDA modifications (liaise with legal team, review comments, provide feedback, finalize versions).

Quotation & Comparison

  • Request quotes from multiple suppliers (3 scopes per week).
  • Follow up on quotes and communicate status to internal stakeholders.

Procurement & Purchase Orders

  • Create purchase orders (average 5-6 orders/week)
  • Print, convert to PDF, rename files, and organize in designated folders.
  • Send purchase orders to suppliers (verify accuracy, use templates, confirm contacts).
  • Manage PO modifications (e.g., incorrect price / delivery address).
  • Track delivery status and follow up with suppliers.

Onboarding & Compliance

  • Engage with PRONET platform for onboarding suppliers.
  • Support supplier onboarding and clarify requirements (5-6 suppliers/week).

Logistics & Shipment Coordination

  • Prepare UPS labels for shipments.
  • Monitor shipments based on plan provided

Financial & Administrative Tasks

  • Download invoices & prepare credit reports in Excel (monthly).

Your profile

Skills & Qualifications:

  • Currently pursuing or recently completed a degree in Supply Chain Management, Industrial Engineering, Business Administration, or related field.
  • Strong organizational and time-management skills.
  • Basic understanding of procurement and supply chain concepts (training will be provided).
  • Knowledge in MS Office (Excel, Word, Outlook); experience of VLOOKUP preferred.
  • Excellent communication skills (email and phone).
  • Ability to work in a fast-paced environment and manage multiple tasks.
  • Basic experience in SAP (not mandatory)
