Key Responsibilities
- Provide day-to-day administrative support to the COR and project team, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Maintain and update project trackers, dashboards, action-item logs, and deliverable schedules to ensure timely execution and accountability.
- Compile and distribute weekly and monthly status reports, incorporating input from logistics, construction, EHP, staging, supply-chain, and vendor teams.
- Track contract milestones, task orders, and change requests to ensure compliance with COR guidance and contract requirements.
- Prepare briefing materials, meeting notes, presentations, and other internal communications to support project reporting and decision-making.
- Maintain organized and secure project documentation, including procurement logs, vendor lists, subcontract tracking, meeting minutes, and travel records.
- Support invoice processing by verifying deliverables, compiling backup documentation, tracking payments, and reporting discrepancies.
- Coordinate logistics for meetings, workshops, and training sessions, including materials, registration, and follow-up communications.
- Adapt to mission needs during disaster response operations, which may include extended hours, remote work, or field-site support.
