The previously determined salary range for this position is $18.70 - $19.85

Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, and budget constraints.

This position is located on the Peoria campus 170 miles southwest of Chicago. (On-Site Work - Not Remote).

The University of Illinois College of Medicine Peoria (UICOMP) educates 265 medical students and more than 300 physician residents and fellows annually. Additionally, it provides clinical care to more than 31,000 patients annually and conducts basic science, clinical and outcomes research. UICOMP is a regional campus of the University of Illinois College of Medicine, a part of the University of Illinois Chicago and University of Illinois System. Position Summary
The Medical Office Associate will provide patient-related support services for the University of Illinois Psychiatry and Psychology Outpatient Center in the Department of Psychiatry and Behavioral Medicine, University of Illinois College of Medicine at Peoria.

Duties & Responsibilities

  • Greet patients as they arrive and schedule follow-up appointments after they see their doctors; enter, code, verify, store, and retrieve patient and insurance information into medical record system; answer routine questions as needed; inform new patients of clinic billing and payment procedures and guidelines; monitor patient account balances and alert supervisor and clinician when balances exceed upper limits; ensure that all clinic appointments are entered into the Epic system from other calendars, such as Outlook and psychologist resident clinic schedules; file loose paperwork.
  • Accept patient payments, write receipts for patient services, maintain petty cash drawer, prepare daily receipt log and reconciliation report, close out cash drawer daily, and process credit card transactions.
  • Accept, screen, and process Outpatient Center phone calls; refer new patients to intake appointments; process patient appointments, cancellations, and no shows; reschedule appointments as needed; manage and follow-up on disposition of calls; complete reminder phone calls to patients.
  • Type and transcribe documents in a confidential and sensitive manner, including notices to clients regarding appointments, reports, evaluations, and progress notes; copy and scan documents and medical records to fulfill legal and disability requests and to complete patient charting; operate voice mail system, Epic reporting system, and word processing systems.
  • Notify supervisor and Outpatient Center Director of ways to improve efficiency in reception area, notify supervisor of need for supplies and safety concerns, keep staff (that cover in the absence of the Medical Office Associate) informed of any changes in procedures or policies.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications

    1. High school diploma or equivalent.
    2. Any one or any combination totaling one (1) year (12 months), from the categories below:
      1. Work experience comparable to that performed at the Medical Office Assistant level or in other positions of comparable responsibility.
      2. Work experience in a health care facility such as a doctor's, dentist's, or hospital's office; which involved record keeping, working with the public, direct patient contact, answering telephones, and working with medical terminology.
      3. Graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant, or medical secretary.


    Preferred Qualifications

    For classes within the professional (01), semi-professional (02), or managerial (03) occupational areas, out-of-state candidates may compete as all other candidates.
    Once a final employment offer is completed, the out-of-state candidate must establish Illinois residency within 180 calendar days of the start date for the designated position. It is the employer's responsibility to monitor this requirement.
