About the Position

The Administrative Assistant oversees the Maricopa County Early Education Division (EED) main office reception area and serves as the initial point of contact for community members and program participants who may call or visit the office. This position provides highly responsible and often complex administrative support to the Program Managers, Assistant Directors, Employees of all levels, and the Public.

The Early Education Division is federally funded to administer center-based Head Start and Early Head Start early care and education along with community resources and referrals to support economically disadvantaged children to be ready for school and families to achieve self-sufficiency. Currently, classrooms are operated through a mixed service delivery model of full-year, part-year, community and school based sites; operated directly by Maricopa County and through contracted Child Care Partnerships.

We Require

  • Two years of receptionist or administrative experience in a high-volume office environment

  • High school diploma or GED

  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

  • Ability to read, write, and speak English and Spanish fluently

Other Requirements

  • Must secure a Level 1 Fingerprint Clearance Card through the Arizona Department of Public Safety

  • Must complete a medical exam that includes screening for tuberculosis (TB)

  • Requires travel to other program sites and community sites

Job Contributions

  • Greets, assists, and directs all visitors courteously. Assure all visitors sign in.

  • Answers multi-line telephone promptly, courteously, and professionally; directs or transfers the caller to the appropriate employee or program personnel.

  • Routes incoming and outgoing mail

  • Maintains schedule of conference rooms and car reservations for staff through Microsoft Outlook; responds to requests timely.

  • Maintain the laundry service schedule and follow up with the vendor as needed

  • Perform clerical and administrative duties, and maintain files as needed, including updating organizational charts, program rosters, and documents as assigned

  • Assists staff with administrative duties, including special projects, as directed by supervisor or department leadership.

  • Help prepare/write reports, presentations, and program correspondence

  • Provide English/Spanish translation, both verbal and written, including Policy Council Meeting minutes and documents as assigned by department leadership

  • Assists in coordinating Policy Council and special events, including scheduling, agendas, and meal requests

Working Conditions

  • Work is routinely performed in an office environment, which may require long periods of sitting, reading, and typing

  • Requires travel to program sites throughout Maricopa County

  • The position requires travel to and from various county, client, and contractor locations during a scheduled workday, subject to County policies regarding the use of County vehicles and/or private vehicles used on County business

  • Must possess or have the ability to obtain a valid Arizona driver's license by the time of hire

  • Bending, stooping, and the ability to lift up to 40 pounds are also required
