Position Summary
To provide commercial (bids and proposal) support to Oceaneering's Subsea Robotics (SSR) Business Segment with a focus on the Geoscience Service Line. With oversight from the Tender Supervisor/Managers where needed, the Commercial Coordinator is responsible for preparing quotes, tenders, and change orders; reviewing basic contractual documents; organizing and facilitating commercial risk assessments when warranted, providing advice on established contracts; creating budgets and cost estimates for various Geoscience scopes of work; liaising with subcontractors and service providers; communicating with and negotiating with customers; interfacing between a number of support functions including Operations, Sales / Business Development, Legal, Tax, Compliance, Contracts, HSE, SCM and QA in support of facilitating the overall bidding process through to completion.
Duties And Responsibilities
ESSENTIAL :
- Log commercial inquiries and distribute Client RFQ documentation as necessary, interface with business line manager, sales, and other departments regarding pricing estimates and all commercial matters in respect of proposal requests.
- Analyze the commercial elements of tender documents and prepare bid package in accordance with the customer requirements.
- Prepare bid cost spreadsheets in excel, price quotations and budgetary / firm proposals as required.
- Prepare and respond to pre-qualification documents to meet deadlines as required.
- Prepare and respond to multiple proposal requests to meet deadlines as required in a high-volume environment.
- Coordinate the internal inputs into tenders and obtain appropriate advice to ensure a timely and compliant response (e.g. Engineering, operational Subject Matter Experts, SCM, tax, legal, contracts, compliance, HSE, QA etc, as appropriate).
- Review basic contractual documents (PO's, Work Orders, Service Orders) from a contractual and commercial perspective, coordinating with different departments for accuracy, to ensure compliance with company policies and practices.
- Negotiate anomalies and exceptions within basic contractual documents with clients (e.g. resolve entity issues, applicable contractual terms and conditions, delivery dates, quantity and pricing issues).
- Communicate with external and internal clients when needed for the purposes of gathering feedback and associated monitoring and filing.
- Update various commercial department databases as required in a timely manner.
- Provide guidance on contractual obligations to ensure work is performed/delivered in accordance with agreed Terms.
- Prepare requests for contractual deviations and amendments in line with changing requirements.
- Prepare handover documents to other departments in line with defined processes.
- Ability to communicate commercial, financial and operational concepts professionally (both written and verbally).
- Prepare and give presentations to senior and executive management.
NON-ESSENTIAL
- Provide general assistance to the Commercial Department as required.
- Check completeness of department filing systems and communicate discrepancies.
- Compile and update standard boilerplate and other related commercial material.
- Other duties as assigned.
Qualifications
REQUIRED:
- 1 - 2 years of tendering experience in the oil & gas industry or related commercial experience will be considered.
- 1 - 2 years of experience working within a commercial environment.
- 1 - 2 years of experience with full life cycle of the tender process and the preparation of quotes, start to finish.
- Competency in operating various basic Microsoft office software packages (e.g. MS Word, Excel, SharePoint PowerPoint, etc).
DESIRED:
- Familiarity with Oil and Gas Industry Contracts.
- Competency in operating various software packages (e.g. XaitPorter, PeopleSoft etc.).
- Familiarity / previous work experience with offshore geophysical and geotechnical survey services, Autonomous Underwater.
- Vehicles (AUV's), seismic 2D High Resolution / 3D High Resolution / Ultra High-Resolution Surveys, Unmanned Surface Vehicles (USV's) and vessel based towed sensors for subsea data acquisition supporting the offshore Oil and Gas Industry.
- Technical writing, proficient writing skills.
- Proficient excel skills.
- Familiarity with the project life cycle.
- Bachelor's degree (or equivalent) in appropriate discipline (Business, Law, Quantity Surveying etc).

Additional Information
This position is Hybrid - Remote and will require commuting to a designated office. Hybrid work schedules are determined by the hiring manager based on business need.
