HR Receptionist - Contract

Onsite

Position Summary

The Receptionist serves as the first point of contact for employees, visitors, and candidates. This contracted role provides essential administrative and clerical support to the Human Resources Business Partners and Talent Acquisition teams, acting as a pre-coordinator by assisting with scheduling, document preparation, and basic candidate and employee support tasks. The Receptionist ensures a welcoming environment and smooth daily operations of the HR front office.

Essential Duties & Responsibilities



  • Greet and direct visitors, employees, and candidates in a professional and courteous manner.
  • Answer, screen, and route incoming calls; manage voicemail and messages in a timely manner.
  • Provide administrative assistance to HR Business Partners and Talent Acquisition staff (e.g., document tracking, meeting preparation).
  • Support candidate experience by providing directions, greeting them upon arrival, and offering hospitality.
  • Maintain front desk presence and ensure lobby area is organized, presentable, and welcoming.
  • Assist with coordination of new hire paperwork, onboarding materials, and interview packets.
  • Process incoming and outgoing mail and deliveries.
  • Perform data entry and maintain accurate HR records, logs, and files.
  • Provide clerical support such as copying, scanning, filing, and preparing standard correspondence.
  • Support HR events, meetings, and recruiting activities by preparing materials, room setups, and sign-in sheets.
  • Perform other administrative and support duties as assigned.



Qualifications



  • High school diploma or equivalent; some college coursework preferred.
  • 1-2 years of administrative, receptionist, or office support experience.
  • Strong organizational and time-management skills with the ability to prioritize tasks.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.


Work Environment & Schedule



  • This is a contracted role.
  • Position is onsite Monday through Thursday, 7:00 a.m. - 5:30 p.m.
  • Scheduled unpaid furloughs occur the week of July 4th, the week of Thanksgiving, and two weeks surrounding Christmas and New Year's.



Compensation



  • Hourly rate: $18.00 - $21.00 per hour, commensurate with experience.
