Acara Solutions seeks highly qualified candidates to work onsite with our client in Lake Buena Vista, FL. Interested?

Here's what you'd do:

  • This role will provide administrative support to a client's Project Team.
  • Acting as the primary contact for all incoming communication and ensuring interactions are handled professionally.
  • Proactively managing team members' (if needed) calendars, coordinating meetings, planning, and executing travel arrangements.
  • Ensuring daily prioritization of communication, meetings, and action items.
  • Providing overall office administration and organizational task support, including maintaining the filing system, preparing expense reports, and processing workflow requirements through SAP.
  • Managing all work with the highest degree of confidentiality - exercising discretion, judgment, and diplomacy.
  • Displaying initiative, ingenuity, and constant communication as a consistent means of accomplishing the work.
  • Monitoring the custodial services and alert management of any issues or concerns for resolution.
  • Maintaining an inventory of office/trailer supplies on an ongoing basis and ordering (according to the client's process) depleted stock to ensure adequate supplies are on hand.
  • Being proactive in assisting with visitors.
  • Assisting in the coordination of the client's lead executive walks.
  • Setting up conference rooms and tearing/down before and after meetings.

Here's what you'll get:

Pay: $21.11 - $22.95/hr.

Hours: 40 hours/week.

Length: Temp (12 months).

Job Requirements
Required Skills / Qualifications:
  • High School Diploma or GED.
  • Minimum of 3 years of proven administrative experience in a corporate environment or project team.
Preferred Skills / Qualifications:
  • Bachelor's Degree.
  • Minimum of 2 years of experience in an administrative-type role.
  • Experience with Keynote, Workday, video teleconferencing and telepresence, Adobe Acrobat Pro, and Visio.
  • Spanish language skills.
  • Positive team player with an enthusiastic attitude and a good service orientation.
  • Ability to communicate efficiently and effectively through demonstrated good verbal, written, and interpersonal skills.
  • Ability to be proactive and self-motivated and anticipate the team's administrative needs.
  • Demonstrated exemplary planning and organization skills - able to set priorities, manage details, and accurately follow through to meet all deadlines.
  • Ability to make independent decisions and demonstrate good judgment in handling sensitive and confidential information issues.
  • Demonstrated ability to prioritize multiple tasks, meet deadlines, manage competing demands, and change course of action quickly in a fast-paced environment.
  • Demonstrated exemplary organization and time management skills.
  • Demonstrated computer proficiency within a Windows environment, including Word, Excel, PowerPoint, Outlook, and the ability to learn new technologies and applications for MAC, iPhone & iPad.
  • Good interpersonal skills to effectively work with different levels of management and their assistants in coordinating meetings, schedules, tours, and presentations.
  • Ability to anticipate executive and non-executive level meeting needs, such as appropriate meeting room, chair/table set up, and catering.
  • Good accountability for assigned tasks/projects and pride in work produced.
