Job Description

The University of Missouri-Kansas City (UMKC) is seeking a proactive and detail-oriented HR professional to serve as a Recruiting Operations Specialist (UM Job Title: HR Specialist II) within the Office of Human Resources. This full-time role provides essential support to staff hiring processes, working closely with recruiters and hiring teams to ensure a smooth and professional experience for candidates. The position also contributes to departmental initiatives and special projects, offering opportunities to collaborate across HR functions and make a meaningful impact on process improvement and candidate engagement.

The Recruiting Operations Specialist will assist in several key areas, including recruitment coordination, onboarding support, HR operations, and may also provide support to the HR Service Center. Recruitment Support

  • Support recruiters in full-cycle recruiting tasks including external ad placements, applicant screening, interview scheduling, reference checks, and background checks.
  • Communicate with applicants throughout the hiring process, including scheduling interviews, confirming logistics, and providing timely updates on application status to ensure a professional and responsive candidate experience.
  • Provide sourcing support to recruiters to help identify and attract qualified candidates.
  • Provide administrative support for executive-level search committees.

Onboarding Support

  • Schedule new hires for new employee orientation and manage logistics including room reservations, materials preparation, and welcome communications.
  • Support orientation sessions by welcoming new employees, guiding them through the agenda, ensuring materials are distributed, and helping create a positive first-day experience.
  • Administer post-orientation and post-hire surveys, compile results, and assist in identifying action items for HR and recruitment teams.
  • May assist with campus tours for new employees, helping them navigate key locations, understand campus culture, and feel connected to the UMKC community from day one.

Operations and Employee Support

  • Process HR Operations workflows such as unpaid appointments, referral incentive payments, and rehire eligibility reviews, using the university's PeopleSoft system.
  • Support the UMKC HR Service Center by assisting with in-person employee questions, helping resolve basic inquiries, and directing individuals to appropriate campus resources or HR specialists for further support.
Minimum Qualifications

  • An associate's degree or an equivalent combination of education and experience.
  • At least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications

  • Proficiency in Microsoft Office, particularly Excel, Outlook, and Word, with the ability to manage spreadsheets and scheduling tools efficiently.
  • Experience with applicant tracking systems (e.g., eRecruit, Taleo, or similar) and HR Information System platforms (e.g., PeopleSoft).
  • Strong organizational and time management skills with the ability to coordinate multiple tasks and deadlines.
  • Excellent written and verbal communication skills, with a focus on professionalism in candidate and stakeholder interactions.
Anticipated Hiring Range

Up to $20.50 per hour commensurate with experience, education, and internal equity.

Other Information

Standard working hours for this position are 8:00 AM to 5:00 PM, Monday through Friday. Upon successful completion of the initial probationary period, flexible work arrangements, such as an adjusted schedule or hybrid work options, may be considered. These will be evaluated individually to ensure they align with both team and organizational needs.
