JOB SUMMARY

The IT Procurement Specialist plays a critical role in managing the end-to-end lifecycle of SaaS, software, hardware, and digital infrastructure contracts. This role is dedicated to ensuring cost-effective, compliant, and strategically aligned technology sourcing. The Specialist will partner closely with IT, Legal, and Security teams to manage software acquisitions, optimize vendor contracts, mitigate risk, and ensure compliance with regulatory, security, and internal governance standards. By focusing exclusively on IT procurement, this role enables greater cost transparency, stronger vendor performance management, improved tool rationalization and stronger alignment with the organization's technology roadmap and enterprise strategy.

ESSENTIAL FUNCTIONS

  • Strategic Alignment and Procurement Strategy:
    • Align IT procurement initiatives with the organization's broader technology roadmap and strategic priorities.
    • Partner with IT leadership to support long-term digital capabilities and enterprise priorities.
    • Develop and drive sourcing strategies (e.g., volume discounts, multi-year agreements, vendor consolidation) to improve efficiency and reduce costs.
    • Support procurement policy development, process improvements, and best-practice adoption across IT procurement workflows.
    • Support the development, implementation, and training of procurement-related systems (e.g., NetSuite, DocuSign).
  • SaaS and IT Asset Lifecycle Management:
    • Lead end-to-end procurement and lifecycle management of IT assets - including hardware, software, services, and SaaS tools.
    • Manage software acquisition, renewals, and rationalization.
    • Monitor usage, optimize license tiers, and identify opportunities to eliminate redundant or underused tools.
  • Contract Strategy and Negotiation:
    • Lead competitive sourcing efforts (RFPs, RFIs. RFQs), negotiations, and vendor evaluations for IT assets.
    • Negotiate pricing, contract terms, and service-level agreements (SLAs) to ensure optimal value and risk mitigation.
    • Collaborate with Legal to evaluate contract terms related to data privacy, intellectual property, and risk (e.g., termination, liability).
  • Vendor Risk and Compliance:
    • Partner with IT Security and Legal to assess and manage third-party risk.
    • Ensure compliance with GDPR, SOC 2, and other regulatory or internal requirements.
    • Monitor vendor performance, contract compliance, and delivery against SLAs.
  • Purchase Operations and Spend Management:
    • Execute day-to-day purchasing activities: issuing Purchase Orders (POs), managing order fulfillment, tracking deliveries, and resolving discrepancies.
    • Oversee spend tracking and reporting to ensure budget adherence and transparency.
  • Cost Optimization and Benchmarking:
    • Benchmark SaaS and IT procurement pricing against industry standards.
    • Identify and execute cost-saving opportunities through tool consolidation, multi-year agreements, and strategic sourcing.

MINIMUM REQUIREMENTS

Education

  • Bachelor's degree in business, IT, or a related field.

Experience

  • 5+ years of experience in IT procurement, strategic sourcing, or vendor management.
  • Experience managing RFP/RFI processes and negotiating pricing, SLAs, and master service agreements.
  • Demonstrated success optimizing SaaS portfolios-license management, tool rationalization, and cost savings initiatives.
  • Experience collaborating cross-functionally with Legal, IT Security, and Finance on risk, compliance, and budgeting.

Knowledge / Skills / Abilities

  • Familiarity with vendor risk frameworks (GDPR, SOC 2, data privacy clauses, etc.).
  • Advanced negotiation, analytical, and contract interpretation skills.
  • Familiarity with software licensing models, SaaS metrics, and IT asset lifecycle management.
  • Excellent organizational skills with the ability to manage multiple concurrent procurement cycles.
  • Proficiency in procurement systems and tools (e.g., NetSuite, DocuSign, or similar ERP/contract systems).
  • Strong communication and stakeholder management skills, with the ability to translate technical requirements into business terms.

PREFERRED QUALIFICATIONS

  • Professional certifications such as Certified Professional in Supply Management (CPSM) or Certified Information Systems Security Professional (CISSP) are advantageous.
  • Experience supporting enterprise-level IT transformation or digital strategy initiatives.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Ability to work for long periods at a computer/desk.
  • Standard office environment.
