Position Summary
Employee serves as the public face of the Department of Advertising and Public Relations and the central hub of support for faculty and students. Employee should provide a high level of
customer service for all internal and external stakeholders. Most courses in the Advertising and Public Relations majors have been taken with permission of the department and assigns those PODs and works with advertising and public relations advisors to place students in AdPR classes.
Employee schedules faculty teaching times and rooms and supports the department head by helping with administrative documents, special projects, promotion and tenure review.
Employee handles administrative duties for faculty searches, keeps track of applications, schedules itineraries for campus visits and assists in seating new hires.

This incumbent manages the documentation when the department hires temporary faculty and provides administrative support for all Advertising and Public Relations faculty.
Knowledge, Skills, Abilities and/or Competencies
Demonstrates strong organizational and time management skills, ensuring timely coordination and follow-through with faculty, advisors, and students. Proficient in administrative support functions including typing, copying, proofreading, and managing hiring-related tasks for full- and part-time employees. Possesses basic competency in using spreadsheets and computer systems. Maintains consistent, professional, and courteous communication with internal and external stakeholders.

Administrative Regular Duties: (50%)

  • Manages office workflow and the department listservs.
  • Maintains and schedules department seminars and labs and collects electronic copies of course syllabus for every class each semester
  • Schedules and sets up meetings for faculty and guests.
  • Provides parking codes and instructions for guests and visitors.
  • Composes routine letters and memos.
  • Collects faculty's course evaluations every semester from Dean's Office.
  • Assists Department Head with major administrative duties, including but not limited:
  • AdPR faculty course schedule and course grid.
  • AdPR faculty and staff directory.
  • AdPR Advisory Board directory.
  • AdPR Advisory Board meeting schedules and related activities.
  • AdPR faculty searches, schedules itineraries for campus visits, and keeps track of campus visits.
  • Projections for future semesters.

Duties/Responsibilities
Student Duties (40%)

  • Manages Permission of Department (PODs), Permission of Majors (POMs) and Drop/Add within department. Coordinates distribution of PODs for all majors with administrative associates in Grady College. Coordinates with Academic Advisor for outside majors with Grady PODs.
  • Works with Department head on section changes.
  • Works with the Grady College academic advisors to place students majoring in advertising and public relations in course sections, which includes entering all Advertising and Public Relations students' information in Banner.
  • Handles inquiries pertaining to class schedules for faculty, staff, and students.
  • Provides information on course curriculum, graduation, advising, and other questions regarding student's major.
  • Generates and maintains course enrollment information through Banner and Argos.
  • Assists faculty to secure event and/or classroom space through 25 Live.
  • Manages student internships and independent study procedure from approvals through completion.
  • Generates and maintains Course Approval Process Automation (CAPA) for department.

Administrative Duties (Periodic) (10%)

  • Compiles Committee work for faculty (University, Grady, Department).
  • Collects faculty Elements reports and vita for annual reviews each January
  • Assist Department Head to collect and complete faculty's Promotion & Tenure Reviews, Probationary Faculty Review, 3rd Year Reviews, and Post-Tenure Reviews in each spring semester.
  • Assists Department Head for major events within the department such as ADPR Week, ADPR Connection, Talking Dog Agency Annual Client Showcase, ADPR Day visits, and other related needs within the department.
