LOCATION: Remote - this is a home based, virtual position. This person must live in North Carolina or within 40 miles of the North Carolina border. Must be willing to travel to the Asheville, NC office if needed.

GENERAL STATEMENT OF JOB

The Business Operations Director will have a direct impact on departmental, inter-departmental, and enterprise efficiency and execution across all business operations touching Provider Network Operations (PNO). The role serves the PNO department, while directly supporting and overseeing the work of the Provider Education and Communication team within PNO.

The Business Operations Director will focus on the alignment of business functions through process documentation and improvement across the PNO department. This role leads department strategic and operational planning. The Business Operations Director supports functional performance reporting on progress and outcomes and is responsible for fostering transparency and awareness through dashboard reporting and department performance monitoring. The role serves as liaison to the Quality Management department, and supports all monitoring, accreditation, and performance measurement connected to PNO. The position serves as business partner to the Project Management Department and supports PNO assigned projects and initiatives being led by the Project Management Department.

The Business Operations Director is responsible for the supervision and oversight of the Provider Education and Communication team and the duties and responsibilities performed by that team. This responsibility includes direct supervision for the Manager of the team.

The Business Operations Director is responsible for proactively convening leadership for consensus building and decision making; the role will directly facilitate cross-functional teams in operational initiatives. The role is accountable for developing deep collaborative partnerships with leaders across the organization, as well as up and down the operational workflows, establishing a global understanding of strategy, process, goals, and constraints. This role will draw heavily on demonstrated experience in strategic planning and operational execution in rapidly changing environments, as well as exceptional communication, team building and facilitation skills.

ESSENTIAL JOB FUNCTIONS

Department Business Operations Development and Management

This position will support Provider Network Operations department executives in the planning, execution, monitoring and improvement of operational functions, prepare and support preparation of executive presentations and reports, undertake documentation and analysis of all core operational processes, and collaborate with team members to identify and implement improvements. Will support PNO on Quality Management initiatives to include but not limited to: internal/external PNO monitoring, readiness reviews, accreditations, and quality improvement projects.

Cross-Department Workflow and Process Improvement

This position will facilitate cross-departmental workgroups to improve processes and workflows that depend upon / involve PNO, educating involved departments, increasing cross-departmental transparency and improving efficiency. This position will lead cross functional business teams in assessing current business operations, make recommendations for process improvement or system redesign; collaborate across internal Vaya departments on implementation, support and assignments required for successful implementation.

Supervision and Oversight of the Provider Education and Communication Team

This position will provide supervision and strategic planning and implementation with the Provider Education and Communications Manager. Will provide direct supervision to the Provider Education and Communications Manager and all duties assigned.

KNOWLEDGE, SKILLS, & ABILITIES

Exceptional written and verbal communication skills, executive presence and adaptability working with a diversity of cross-functional, cross-level team members, demonstrated interpersonal, collaboration, and negotiation skills, confidence working in fast-paced, changing environments, ability to understand the strategic direction and goals of the department, to drive strategic planning and decisions, and to support appropriate processes to facilitate achievement of business objectives, ability to multitask and prioritize to manage multiple projects on tight timelines, self-directed, proactively explore and identify opportunities, and build cases for decision making, attention to detail and ability to organize work product for rapid review and consumption, proficiency with Microsoft Office applications, including Excel, PowerPoint and Visio; Salesforce platform, demonstrate skills in presentation building, process and journey mapping, data structuring and analysis, and appropriate application of the tools of process improvement and project management.

EDUCATION & EXPERIENCE REQUIREMENTS

  • Bachelor's degree in healthcare or business administration with 3+ years experience in administration, operations, consulting or project/program management.

OR

  • Bachelor's degree in another field and 5 years in healthcare-related business; roles in any combination of operations, consulting, or project management

PHYSICAL REQUIREMENTS

  • Close visual acuity to perform activities such as preparation and analysis of documents; viewing a computer terminal; and extensive reading.
  • Physical activity in this position includes crouching, reaching, walking, talking, hearing and repetitive motion of hands, wrists and fingers.
  • Sedentary work with lifting requirements up to 10 pounds, sitting for extended periods of time.
  • Mental concentration is required in all aspects of work.

RESIDENCY REQUIREMENT: The person in this position is required to reside in North Carolina or within 40 miles of the North Carolina border.

SALARY: Depending on qualifications & experience of candidate. This position is exempt and is not

eligible for overtime compensation.
