The Product Performance Administrative Assistant is responsible for a wide range of administrative support and research assistance to the Product Performance group. The tasks include but are not limited to data verification/input, utilizing the AX business system for multiple business operations, Product Support Sales operations and some Client Offering management, such as Cat ET subscriptions.

JOB SUMMARY: The Product Performance Administrative Assistant is responsible for a wide range of administrative support and research assistance to the Product Performance and Product Support Divisions. The tasks include but are not limited to data verification/input, utilizing the AX business system for multiple business operations, Product Support Sales operations and some Client Offering management, such as Cat ET subscriptions.

ESSENTIAL FUNCTIONS:

Safety



  • Actively cares, promotes, manages, and advocates safety at Western States. As a team member in the organization, it is critical to ensure all employees, vendors, and clients have a safe work environment while adhering to all applicable safety policies, procedures and standards.
  • Ability to complete Job Hazard Analysis (JHA's) prior to any job-related tasks according to WSECO's policy and standards.
  • Maintains clean/clutter free personal work areas to ensure safe environments for all WSECO employees.
  • Adhering to required personal protective equipment (PPE) as identified in safety policy.



Division Support




  • Provides consistent, accurate, and timely data maintenance and project information utilizing a broad range of software (AX, SIS, PCC, VL, Cat Insight, Cat Foresight, etc.) to support the objectives of the Product Support Team.
  • Manages subscriptions and billings for customers in applicable systems including, ET and SIS programs. Runs renewal reports and provides Product Support Sales Representatives (PSSRs) for customer follow up. Works with the Contract Support Administrator to create the new contracts and renews subscription information.
  • Works closely with Product Support Sales team to update and maintain accurate customer machine populations in the systems.
  • Documents process and aligns them to CAT and/or Western States systems.
  • Manages Special Projects related to parts growth initiatives offered by CAT or Western States (OLGA, Instant Access, etc.)
  • Works to improve and simplify the process for equipment set up and update.
  • Completes specific sales support functions in research and information management to support the communication objectives between Product Support Sales Representatives (PSSRs), Sales Representatives, and Sales and Marketing department.
  • Coordinates and implements special projects as assigned by Product Support VP.
  • Works within and promotes corporate vision, mission, and values of the organization.
  • Performs other duties as assigned.



SKILLS, KNOWLEDGE, AND ABILITIES:



  • Excellent data maintenance/quality control skills.
  • Knowledge of Microsoft computer products or other comparable systems.
  • Strong interpersonal, communication and writing skills required.
  • Excellent written and oral communication skills.
  • Ability to produce effective, timely and accurate information.
  • Ability to develop and maintain effective working relationships with others.
  • Consistent attendance.



EDUCATION AND EXPERIENCE:



  • Proof of high school diploma or General Education Degree (GED).
  • Minimum of two years' comparable experience required; industry experience
  • Must be able to communicate (speak, read, comprehend, write in English).



PHYSICAL CHARACTERISTICS:



  • Must be able to meet all safety requirements for applicable safety policies.
