Performs a wide range of secretarial and administrative duties to assist with the planning, management, and coordination of the department's overall objectives. Position is characterized by the need for initiative and the ability to problem solve. Incumbent must be able to tactfully and effectively communicate relevant hospital policies and procedures to employees, executives, and other individuals within and outside the hospital.

  1. Coordinates operations of Drug Information Library, which involves preparing and maintaining annual budget for journal and book subscription renewals or purchases.
  2. Develops, organizes, and maintains department education certification and clinical interaction documentation as necessary to meet regulatory
  3. Participates in new hire training/orientation as assigned.
  4. Assists in daily activities of Drug Information Service, which includes the collection, organization, automation, and display of data. Maintains pharmacy floor stock lists and the pharmacy floor stock inventory book as necessary to ensure performance of monthly
  5. Responsible for transcription and distribution of minutes and other information regarding the activities of various committees.
  6. Assists with daily activities of Departmental Quality Improvement Program to include data collection and report preparation as necessary to meet regulatory standards and specifications for pharmacy system-wide.
  7. Participates in preparations for regulatory inspections.
  8. Maintains and assists with human resources related records for assigned Manager on departmental staff to include time and attendance, and other payroll information.
  9. Provides support for Investigational Drug Service related to record
  10. Assists in the preparation of schedules and other activities related to pharmacy student
  11. Serves as a departmental resource regarding computer software utilization, providing instruction and other assistance as necessary.
  12. Schedules and coordinates meetings, consultants, and special events as needed including meal planning, facility arrangements, and material distribution.
  13. Receives and routes mail, calls, and visitors. Answers routine correspondence and handles routine matters personally.
  14. Attends meetings for purposes of recording and distributing minutes.
  15. Routinely works with sensitive or confidential information, documents, and issues.
  16. Responsible for inventorying and ordering office supplies and equipment. Responsible for coordinating equipment, maintenance, and repair.
  17. Participates in several committees as assigned.
  18. Organizes, maintains, and reconciles billing/invoices. Processes check requests according to policy.
  19. Assists with maintenance of pharmaceutical waste invoicing, manifests, and documentation for regulatory compliance.
  20. Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury/accident to Manager.

REQUIRED:

  1. Successful completion of Medical Terminology Course OR successful completion of Medical Terminology Assessment.
  2. Minimum of five (5) years progressively responsible secretarial and administrative work.
  3. Demonstrates knowledge and skill in utilization of computer applications.

PREFERRED:

  1. College degree or some college coursework in related field.
  2. Prior healthcare and/or business experience.
  3. Knowledge of pharmaceutical terminology.
  4. Registration as pharmacy technician with the Georgia Board of Pharmacy.
  5. Demonstrated ability to work independently, prioritizing and organizing assignments appropriately.
  6. Excellent oral and written communication skills.
  7. Excellent mathematical and analytical skills.
