Position Summary
This individual will support the Development and Alumni Relations efforts of the College of Family and Consumer Sciences by coordinating comprehensive donor relations and stewardship initiatives. Reporting to the Director of Development, this individual manages donor acknowledgement processes, organizes stewardship events, and ensures donor intent is upheld through accurate record-keeping and detailed briefings. This employee also provides administrative support to the development team, oversees gift processing and financial transactions, and assists with planning and logistics for donor and alumni engagement activities. Strong organizational and communication skills are essential, as the role involves managing confidential information, event coordination, and frequent interaction with donors and college leadership.
Knowledge, Skills, Abilities and/or Competencies

  • Knowledge of how the University of Georgia operates including policies and procedures.
  • Knowledge of budgetary policies and procedures.
  • Knowledge, organizational and computer skills necessary to use key university systems (OneUSG, UGAMart, UGA Financial Management System, and GAIL).
  • Outstanding writer and excellent proofreader.
  • Detail-oriented with a drive to effectively manage a project from start to finish.
  • Experience with GAIL.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.).
  • Willingness to work with varied constituencies including, alumni, donors, volunteers, parents, students, faculty, and staff.
  • High energy, flexible, hardworking self-starter who excels at prioritizing and multi-tasking.

Donor Relations and Stewardship

  • Coordinate weekly acknowledgement process to ensure letters to donors are timely, accurate, and detailed.
  • Coordinate logistics for all donor stewardship activities and events (Creswell Circle; special meetings for donors and recipients, etc.).
  • Maintain current list of all scholarship and endowment descriptions, purpose, criteria, impact, and recipients to help ensure donor intent is followed in selection process.
  • Prepare comprehensive briefing materials for development and alumni relations staff and other college leadership in advance of donor meetings, alumni events, and other strategic engagements. These briefings should include relevant donor history, key talking points, and other pertinent information to ensure successful interactions.
  • Oversee sky suite process including all communications with guests following invitation acceptance and coordinate game day details. Stock suite prior to season and each game.
  • Plan, coordinate, and execute donor stewardship activities, events, and special projects, which may occasionally require evening and weekend work.
  • Manage monthly birthday card and unique stewardship card initiatives.

Administrative Support and Office Management

  • Provide administrative support to the FACS Development and Alumni Relations team, including maintenance of calendar, updating task lists, and scheduling meetings (may include presentations, agendas, briefings, minutes, etc.) as needed.
  • Coordinate DAR team travel arrangements (rental car reservations, conference reservations, TA creation, reimbursements).
  • Manage correspondence, calendars, travel arrangements, expense reimbursements and processing.
  • Assist in follow up for meetings - may include entering contact reports and updating of plans in GAIL, follow up correspondence, etc.
  • Provide administrative support as needed, including during occasional evening and weekend hours to accommodate special events, urgent deadlines, or time-sensitive donor-related activities.
  • Maintain confidential files on donors/prospects.
  • Maintain files, spreadsheets, and track budgets for special development and alumni projects/events.
  • Assist with alumni, donor and stewardship event planning and execution, including logistics, catering, and guest services.

  • Gift Processing by utilizing GAIL (UGA Giving and Alumni Link) and FAME to support the DAR Office ensuring that all aspects of the office adhere to UGA and UGA Foundation policies.
  • Create check requests for reimbursement and vendor payment.
  • Maintain Inventory and order office supplies and promotional items.
  • Coordinate with IT to provide updates for development and alumni relations pages.
  • Assist development team with process for establishing new donor-supported funds with UGA Foundation.
  • Support all aspects of the FACS DAR Office as needed and other duties as assigned.
